Job Title: Administrative Data Coordinator

We are seeking a highly organized and detail-oriented Administrative Data Coordinator to join our team at Headstart Hatching. As a key member of our team, you will be responsible for ensuring the smooth and efficient operation of our office.

Responsibilities:
  • Perform accurate and timely data entry tasks, maintaining and updating records across various systems.
  • Assist with general office administrative functions, including preparing shipping and export documents or samples.
  • Support the hatchery manager with employee payroll information and maintain all employee-related documentation.
  • Enter data into MTech systems for production aspects of the hatchery and organize hatchery data to create reports for performance evaluation.
  • Order supplies as directed by the hatchery manager and conduct inventory of supplies and eggs.
  • Create invoices for hatchery bills and organize all hatchery forms used by various departments.
  • Assist other hatchery departments as needed and communicate production information with poult coordinators from companies we are hatching for.
  • Fill out delivery tickets for poult deliveries and follow all company rules and regulations for biosecurity, animal welfare, and safety.
  • Monitor company emails regularly for directives, requests, or responses from HR and/or the hatchery manager.
  • Work collaboratively with the hatchery team to achieve company goals and maintain a safe and clean working environment.
Requirements:
  • Previous administrative experience preferred.
  • Associate Accounting Degree preferred.
  • Familiarity with computer software such as MS Office Suite and Enterprise Resource Planning Systems.
  • Proficiency in Excel, including creating filters, taking averages, and summing up columns.
  • Knowledge of basic mathematics and statistics, including percentages.
  • Database entry and ability to balance numbers.
  • Strong attention to detail and organizational skills.
  • Ability to prioritize and meet deadlines.
  • Ability to work independently and effectively respond to questions, concerns, or needs from employees at all organizational levels.
  • Bilingual in Spanish – English preferred.
