Position Overview:
The Grant Administrator is tasked with providing comprehensive post-award financial analysis and support for grants and contracts received by the Research Foundation for SUNY at NY CREATES.
Key Responsibilities:
- Conduct thorough and timely reviews and approvals of non-procurable expenditure requests, ensuring compliance with all relevant federal, sponsor, Research Foundation regulations, and IRS requirements.
- Review and approve payment requests against Purchase Orders established by Purchasing Staff, adhering to all applicable regulations and requirements.
- Oversee sub-recipient monitoring, including the receipt, review, and approval of invoices to guarantee compliance with federal, sponsor, and Research Foundation guidelines.
- Evaluate and approve all labor distribution activities for Research Foundation payroll, making determinations on funding availability and appropriateness of charges.
- Ensure accurate and timely entry of all related labor distribution data.
- Monitor cost-sharing requirements and expenditures, collecting and documenting all acceptable cost-sharing and release time obligations in a timely manner.
- Facilitate account closeout processes as necessary, acting as a liaison with NY CREATES finance staff and other sponsored program administrative personnel.
- Review supporting materials for all new and renewed grants and contracts to familiarize with the portfolio of NY CREATES sponsored programs, including project subjects, budgets, timeframes, reporting requirements, expenditure restrictions, and unique stipulations.
- Ensure accurate and timely establishment and maintenance of accounts in the business system, in compliance with all applicable RF, federal, and sponsor regulations, supported by appropriate documentation.
- Disseminate relevant account information to other sponsored programs administrative staff as needed.
- Establish and maintain organized award and billing files, ensuring completeness and timely compilation of information.
Qualifications:
Minimum qualifications for the Grant Administrator role include:
- A Bachelor's degree in business or a related field, accompanied by two years of experience in a similar role.
- Proficiency in managing multiple priorities within a fast-paced environment, exhibiting strong organizational and communication skills, along with the ability to make independent decisions.
- Experience with Microsoft Office or equivalent software suites.
- This position is contingent upon the successful completion of a background check, which may require annual renewals.
