Job Summary

The Hill Group is seeking a highly skilled and experienced Project Accountant to join our team. As a key member of our construction team, you will be responsible for managing the project billing and collection process, reviewing costs and gross profit on each job, and interacting with internal project managers, project engineers, and clients.

Responsibilities
  • Project Billing and Collection: Effectively communicate with project managers and project executives regarding contract documents, change orders, and other contract modifications, approvals, and additional services-related to billing.
  • Invoice Preparation: Prepare final invoice packages containing draft and final invoices for all billable projects, including all applicable backup for approval by the controller and/or CFO.
  • Client Communication: Send final invoices and waivers to the customer and follow up on client approval/payment.
  • Billing Optimization: Assess and pursue opportunities for maximization of client billing, communicate with the controller/CFO regarding observations and actions taken.
  • Unbilled Issues Research: Research any unbilled issues to optimize billing possibilities for the billing period.
  • Billing Folder Maintenance: Maintain the billing folders for all projects, with all the appropriate documents, including pay applications, waivers, certified payroll reports, vendor invoices, etc., in accordance with standard procedures.
  • Ad Hoc Reporting: Generate and distribute ad hoc receivables reports and job profitability reports.
  • Project Setup and Management: Set up new projects, make transfers of employee billable hours and/or expenses, and open and close jobs, including review and investigation of open commitments.
  • Time and Material Billings: Prepare time and material (T&M) billings with all related supporting documentation.
  • Subcontract Waivers: Manage/prepare subcontract waivers process.
  • Certified Payroll: Manage certified payroll process on jobs where required.
  • Process Improvement: Recommend and implement agreed process improvements to the billing cycle.
  • Special Project Analyses: Prepare special project analyses for project managers, project executives, and others.
  • Project Review Meetings: Participate in monthly and quarterly project review meetings with the CFO, controller, VP of construction operations, and group leaders.
Requirements
  • Education: Bachelor's degree or some college courses in accounting or business preferred.
  • Experience: More than 5 years of billing and receivables experience, with at least 2-3 years in a construction environment preferred.
  • Knowledge: A thorough knowledge of standard contract terms, including hourly, lump sum, not-to-exceed, and how they are applied in the billing process preferred.
  • Skills: Ability to work well with others under deadline situations and respond to changes in priorities, good written and verbal communication skills, strong organizational skills, ability to work independently, take initiative, set priorities, and see projects through to completion, employ problem-solving skills and analysis, and report problems to the CFO.
  • Software: Competency in Microsoft applications, including Word, Excel, and Outlook.
