Key Responsibilities:

  • Conduct daily, monthly, and yearly financial tasks, including recording, identifying, and verifying financial transactions; budget forecasting; and reviewing and updating financial documents.
  • Manage Accounts Receivable, Accounts Payable, General Ledger, and Financial Reporting. Ensure monthly financial statements are compliant with established policies and procedures.
  • Generate and dispatch client invoices on a monthly basis.
  • Support Human Resources functions, including Payroll, 401(k), HSA contributions, Open Enrollment, and other employee benefits; manage payroll tax reporting monthly, quarterly, and annually.
  • Prepare year-end financial reports for tax compliance and 401(k) adherence.
  • Oversee payments to subconsultants and vendors, maintain W-9 documentation, and prepare year-end 1099 forms.
  • Track project expenses for invoicing purposes.
  • Manage credit card reconciliations.
  • Maintain current asset records and reporting.
  • Handle account reconciliations for multiple entities.
  • Establish and supervise internal accounting control measures.
  • Ensure compliance reporting for various platforms and state prequalification requirements.
  • Maintain necessary licenses and filings for architects and the firm.
  • Assist Partners with special projects as required.
  • Support day-to-day office operations as needed.

Qualifications:

Education: Bachelor's Degree in Accounting, Finance, or Business Administration.

Experience: At least 4 years of relevant accounting experience.

Essential Skills: The candidate should possess strong verbal and written communication skills, along with the following:

  • In-depth knowledge of financial accounting principles and practices.
  • Proficiency in Microsoft Office, particularly Excel and Word.
  • Exceptional organizational skills and attention to detail.
  • Strong administrative capabilities with the ability to meet deadlines.
  • Familiarity with accounting software (QuickBooks preferred).
  • Ability to work independently and collaboratively within a team.
  • Capability to build effective relationships with diverse stakeholders.
