Position Overview

The Employee Benefits Specialist will support the daily management of benefits administration, including 401(k) plans and group insurance programs. This role encompasses educating employees, managing enrollment inquiries, handling billing, processing status changes, and overseeing payroll deductions. Additionally, the specialist will facilitate various HR administrative tasks across all U.S. locations.

This position offers a competitive hourly wage.

Key Responsibilities
  • Administer weekly payroll funding for 401(k), HSA, FSA, and Commuter benefits.
  • Support the Benefits Manager with 401(k) loan processing and portal adjustments.
  • Assist in the annual 401(k) audit and compliance filings as required.
  • Manage vendor file uploads as necessary.
  • Oversee the administration, compliance, and communication of health & welfare, retirement, and compensation plans in alignment with company policies.
  • Address benefit-related inquiries from vendors and HR Business Partners, providing guidance as needed.
  • Ensure confidentiality and security of sensitive employee information, including enrollment and compensation details.
  • Assist with group benefits program management for non-union employees.
  • Facilitate U.S. benefits communication, including mail merges and training sessions as required.
  • Maintain records of summary plan descriptions and associated documentation.
  • Coordinate benefits education initiatives with the Benefits team and Vendor Partners, publishing quarterly articles on the company intranet.
  • Process and track monthly invoices for benefit vendor payments.
  • Conduct benefit orientation sessions for new hires, either in person or via virtual platforms.
  • Assist beneficiaries with life insurance claims as needed.
  • Support the Open Enrollment process, including system testing and communication preparation.
  • Manage Life and LTD conversion notifications for employees who have terminated employment.
  • Perform additional duties as assigned.
Qualifications
  • 1-2 years of experience in benefits administration, particularly with 401(k) plans.
  • Preferred experience with ADP reporting.
  • General understanding of benefits and compensation regulations (such as ERISA, HIPAA, 401(k), COBRA, ACA, HSA, and Department of Labor FLSA regulations).
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Strong mathematical, analytical, and critical thinking abilities.
  • Exceptional customer service and communication skills, both verbal and written.
  • Ability to maintain confidentiality regarding employee benefits and compensation matters.
