About the Job

Mai Placement is a leading real estate development company seeking a Senior Administrative Professional for its CEO. This is a unique opportunity to work in a fast-paced environment and be part of a dynamic team.

The ideal candidate will have a proven track record of providing executive-level support, handling sensitive information, and representing the CEO and the company with professionalism.

Key Responsibilities:

  • Supporting the CEO: Providing administrative support to the CEO, handling confidential documents, reviewing contracts, and overseeing communication with legal professionals.
  • Building Relationships: Building and maintaining strong relationships with clients, business leaders, legal professionals, and government officials, representing the company with professionalism in all interactions.
  • Project Management: Managing the CEO's schedule, ensuring conflict-free meetings and events, coordinate travel, client meetings, and legal reviews, and oversee ongoing projects from start to completion.
  • Meeting Preparation: Preparing meeting agendas, taking detailed notes, and following up on action items, managing legal filings and documentation, ensuring accuracy and timeliness.
  • Problem-Solving: Anticipating challenges, particularly related to legal and operational matters, and proactively providing solutions to ensure smooth business operations.

Requirements:

  • Experience: At least 2 years of experience as an Executive Assistant, ideally with a legal background or experience supporting high-level executives in legal matters.
  • Knowledge: Familiarity with real estate law and experience handling legal documents and communications, experience in a law firm or supporting attorneys is a plus.
  • Demeanor: Strong communication skills with the ability to engage with senior executives and stakeholders, a polished, professional presence is essential.
  • Organizational Skills: Ability to manage complex schedules, projects, and legal tasks simultaneously, experience coordinating meetings, drafting legal documentation, and maintaining confidentiality is key.
  • Technology Proficiency: Advanced skills in Microsoft Office, Google Workspace, and project management tools.

Salary: $150k - $175k per annum, depending on qualifications and experience.
