Administrative Support Specialist

As an Administrative Support Specialist at Raymond James Financial Incorporated, you will play a vital role in providing exceptional support to our management team. Under limited supervision, you will utilize your intermediate skills to deliver a wide range of administrative and staff support services. Your responsibilities will include coordinating and performing staff and operational support activities, serving as a liaison with internal and external customers, and providing administrative support such as answering telephones and resolving administrative problems.
Key Responsibilities:- Coordinate and perform a range of staff and operational support activities for a manager or group of managers.
- Serve as a liaison with other functional areas, external customers, and vendors in the resolution of routine administrative and operational problems.
- Provide administrative support including answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries.
- Compose and edit correspondence and/or memoranda from dictation, verbal direction, or from knowledge of established policies.
- Prepare, transcribe, compose, type, edit, and distribute agendas and minutes of meetings.
- Schedule and coordinate meetings, events, interviews, appointments, and/or other similar activities, which may include coordinating travel and lodging arrangements.
- Prepare or assist in preparing scheduled and/or ad hoc statistical and narrative reports by performing basic information gathering and analysis, as specifically directed.
- Establish, maintain, and update files, databases, records, and/or other documents.
- Develop and maintain data and perform routine analyses and calculations involved in preparing recurring internal reports.
- Sort, screen, review, and distribute incoming and outgoing mail and prepare timely responses to a variety of routine written inquiries.
- Requisition supplies, printing, maintenance, and other services.
- Maintain currency in modern office management methods and techniques.
- Operate standard office equipment and use required software applications.
- High School diploma with a minimum of one (1) year of general administrative support experience required.
