Job Description

Job Summary: We are seeking a highly organized and detail-oriented HVAC Dispatch Coordinator to support our government HVAC contract at Fort Knox. The ideal candidate will be responsible for dispatching service requests, ensuring timely responses, and keeping the General Fund Enterprise Business System (GFEBS) up to date with accurate data. This role is crucial for maintaining efficient operations and delivering exceptional service to our government clients.

Key Responsibilities:

  • Dispatch Coordination:
    • Manage and prioritize service requests related to HVAC systems.
    • Schedule and dispatch technicians efficiently to ensure prompt service.
    • Communicate with team members and clients regarding service status and updates.
  • GFEBS Management:
    • Maintain accurate and timely entries in GFEBS, including work orders, service reports, and inventory management.
    • Ensure compliance with government regulations and standards related to GFEBS.
    • Generate and analyze reports for performance tracking and project management.
  • Customer Service:
    • Act as the primary point of contact for clients regarding HVAC service inquiries.
    • Address and resolve client concerns or issues in a professional manner.
  • Collaboration:
    • Work closely with HVAC technicians and management to coordinate service schedules and resource allocation.
    • Assist in training new staff on dispatch procedures and GFEBS usage.

Qualifications:

  • High school diploma or equivalent; associate degree or higher preferred.
  • Previous experience in dispatch coordination or facility management, preferably in a government or military setting.
  • Familiarity with GFEBS or similar enterprise resource planning (ERP) systems is highly desirable.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work in a fast-paced environment and adapt to changing priorities.

Preferred Skills:

  • Knowledge of HVAC systems and terminology.
  • Experience with project management tools and software.

Work hours 9am to 5pm Monday through Friday.
