Job Summary

This role involves coordinating administrative tasks, managing schedules, and handling correspondence. The Administrative Support Coordinator will also be responsible for preparing reports, presentations, and other documentation. Additionally, they will handle travel arrangements for staff members and serve as a point of contact for internal and external stakeholders, ensuring efficient communication and timely resolution of inquiries.

Key Responsibilities
  • Calendar Management: Manage the President's calendar and schedule appointments independently.
  • Travel Coordination: Arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings, and accompany the President when requested.
  • Shipping and Logistics: Assist in the preparation of shipping paperwork for direct-to-consumer orders and samples.
  • Customer Support: Direct to Consumer Customer Support.
  • Correspondence and Communication: Screen incoming calls and correspondence and respond independently when possible.
  • Documentation and Records: Prepare memorandums outlining and explaining administrative procedures and policies and monitor compliance.
  • Meeting Coordination: Direct the preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings.
  • Document Custodian: Act as custodian of corporate documents and records.
  • Database and Spreadsheet Management: Create and maintain database and spreadsheet files.
  • Procurement: Order various non-meat items.
  • Coverage: Cover for the customer service department and receptionist when needed.
Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education and/or Experience: Bachelor's degree or equivalent from four-year college preferred but Associates Degree from a two-year institution is required. At least two years of administrative experience is requested including word processing, document control, and preparation of spreadsheets.

Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills: To perform this job successfully, an individual should have knowledge of Internet software; Spreadsheet software and Microsoft Office Word Processing software.
