POSITION TITLE: Optometric Office Specialist

REPORTS TO: Store General Manager

FLSA STATUS: Hourly; Non-Exempt

POSITION OBJECTIVE:

The primary responsibility of the Optometric Office Specialist is to support the Managing Optometrist in both the technical and administrative functions of an eye care practice. This role involves engaging with patients/customers to deliver an exceptional experience, enhancing patient retention, and ensuring high levels of satisfaction among associates and doctors.

ROLE OF THE OPTOMETRIC OFFICE SPECIALIST:

The Optometric Office Specialist is integral to the functioning of the eye care practice. Responsibilities may include utilizing computerized medical office systems, managing administrative tasks, processing health insurance claims, and transcribing medical reports.

This position may encompass skills associated with medical office administration, billing and collections, appointment scheduling, and direct patient care.

KEY DUTIES AND RESPONSIBILITIES:

Clinical Responsibilities:

  • Collecting patient medical histories
  • Preparing patients for examinations
  • Conducting preliminary tests prior to eye examinations
  • Assisting optometrists during patient evaluations

Administrative Responsibilities:

  • Welcoming and directing patients
  • Managing phone communications
  • Updating and maintaining Electronic Medical Records
  • Verifying and obtaining insurance authorizations
  • Adjusting schedules for priority patients
  • Coordinating appointment bookings
  • Processing insurance claims
  • Handling patient and insurance billing
  • Managing optometric medical billing and coding
  • Overseeing vision insurance billing and coding
  • Handling accounts receivable and payable
  • Conducting bookkeeping tasks

*Clinical skills can be acquired through on-the-job training. No prior clinical experience is required to apply.

TRAVEL REQUIREMENTS:

  • Occasional local travel may be necessary, typically within a 15-mile radius.

QUALIFICATIONS: Experience, Skills, and Education

  • Strong communication skills to meet and exceed customer expectations while fostering positive relationships with associates and doctors.
  • Ability to prioritize tasks with adaptability and a willingness to take calculated risks.
  • Experience with personal computers is preferred.
  • Valid State Driver's License and minimum state-required insurance coverage.
  • High school diploma or equivalent, or comparable experience typically gained with 1-2 years in a retail environment.
