Job Summary

Hugg & Hall Equipment Company is a leading supplier of Material Handling and Construction Equipment. We are seeking a highly organized and detail-oriented Service Coordinator to join our Service Department team.

Key Responsibilities
  • Perform administrative tasks in support of the Service Department, including service work order processing and personnel management.
  • Calculate and input Service Department personnel hours in EBS, ensuring accurate and timely reporting.
  • Maintain records of sick and vacation days for Service Department personnel, ensuring compliance with company policies.
  • Update the status of service work in Central Dispatch, ensuring seamless communication with customers and internal stakeholders.
  • Enter time to work orders from daily time sheets, ensuring accurate and timely invoicing.
  • Enter all notes from work orders into EBS, providing valuable insights for service improvement.
  • Post transportation charges to work orders, ensuring accurate and timely billing.
  • Follow up on conflicting or missing information provided by service personnel, ensuring resolution and customer satisfaction.
  • Input miscellaneous work order entries, ensuring accurate and timely processing.
  • Prepare all work orders for review by Service Department management personnel, ensuring quality and accuracy.
  • Follow up with the Parts Department for unfilled PO's, ensuring timely and accurate delivery.
  • Request and process Customer PO's as necessary, ensuring seamless communication and customer satisfaction.
  • Administer and manage all third-party billing, including Ariba, E-Tyson, and Crown, ensuring accurate and timely invoicing.
  • Issue PO's for sublet work/parts associated with service jobs or service vehicles, ensuring accurate and timely procurement.
  • Add/Delete/Change units and rates in the PM Master database, ensuring accurate and timely maintenance scheduling.
  • Categorize closed work orders into Service Tickets, PM's, and AI's, ensuring accurate and timely scanning.
Requirements
  • Minimum 1 year administrative/clerical experience, preferably in a service-related industry.
  • Strong written and verbal communication skills, with ability to effectively communicate with customers and internal stakeholders.
  • Accurate and efficient, with ability to prioritize tasks and manage multiple projects simultaneously.
  • High School Diploma or Equivalent, with ability to learn and adapt to new systems and processes.
Work Environment

This position is in an indoor office environment with a controlled climate.

This position requires sitting at a computer desk for long periods of time with constant use of a computer keyboard while reading the computer screen.

This position will continuously talk, hear, and read in verbal and written communication. And will occasionally stand, walk, and reach with hands and arms.

This position will continuously use hands to type.
