Job Overview

Fawkes IDM is seeking a highly organized and detail-oriented Staff Recruiting Assistant to join our team. As a key member of our recruitment team, you will be responsible for supporting the recruitment process, ensuring timely and efficient hiring of top talent.

Key Responsibilities
  • Prepare and send bi-weekly staff recruiting emails to ensure timely communication with candidates and hiring managers.
  • Scan and upload recruiting documents into the Applicant Tracking System, maintaining accurate and up-to-date records.
  • Manage the Application Tracking System, including dispositioning applicants, checking in applicants, and processing duplicate applicants.
  • Post and remove new open positions, both internally and externally, and create electronic recruiting files in iManage.
  • Administer and manage the candidate diagnostic assessment process, ensuring seamless integration with our recruitment strategy.
  • Maintain and update the Staff Recruiting Open/Filled and Job Posting Smartsheets and staff recruiting spreadsheets, providing real-time insights to stakeholders.
  • Submit new hire and non-employee worker conflicts for processing and e-file all completed forms along with clearance emails.
  • Process non-employee workers and enter all non-employee worker information into the HRIS system.
  • Maintain the temporary employee spreadsheet, ensuring accurate and up-to-date records.
  • Greet and escort applicants to conference rooms for interviews, as needed.
  • Process staff employment verifications, invoices, and expenses for the Human Resources Department.
Requirements
  • A two-year college degree or equivalent experience.
  • Prior office experience in a law firm, corporate, or professional environment is a plus.
  • 1+ year of administrative support experience, ideally in a professional service, corporate, or law firm environment.
  • Proficiency in Windows operating systems and Microsoft Office Suite, with advanced proficiency in Word and Excel.
  • Experience using Smartsheet and Applicant Tracking Systems is a plus.
