Position Overview

The Event Coordinator serves as a vital link between Event Managers and clients organizing various events and accommodations within our establishment. This role encompasses a wide range of events, including corporate meetings, association conferences, charitable galas, citywide conventions, weddings, and festive celebrations.

Key Responsibilities:

  • Provide administrative assistance to the Event Sales and Planning Team.
  • Manage internal bookings efficiently.
  • Conduct hotel tours for prospective clients.
  • Handle phone inquiries and offer guidance to clients on behalf of the Event Sales and Planning Team.
  • Support Event Managers with incoming inquiries.
  • Oversee small guestroom blocks, understanding group history and performance metrics with managerial support.
  • Prepare group resumes and event orders accurately.
  • Collaborate positively with hotel departments and external vendors.
  • Educate clients about our event planning technology.
  • Act as the primary contact for clients during event execution.
  • Identify and recommend enhancements to improve the attendee experience.
  • Review post-event billing and generate historical reports.
  • Compile and generate relevant reports.

Our Event Coordinator is expected to engage actively with the community and participate in industry-related organizations, as well as Hyatt associate programs.

Qualifications:

  • A genuine desire to meet the needs of others in a fast-paced setting, while maintaining a positive attitude and embodying our values.
  • A team-oriented individual who can adapt to the evolving hospitality and event landscape.
  • Preferred prior experience in Banquet Operations and Wedding Planning within a hotel context.
  • A proven track record of delivering superior customer service.
  • Proficiency in Envision Sales Suite, Opera, Social Tables, Sertifi, Hyatt Planner Portal, and Microsoft Office is desired.
  • Exceptional attention to detail, organizational skills, and the ability to thrive in a fast-paced environment.
  • A willingness to learn and assist in other departments during peak times.
  • Strong verbal and written communication skills.
  • Excellent analytical, organizational, and interpersonal abilities.
