The Client Services Associate plays a crucial role in supporting one or more Financial Advisors (FAs) by facilitating the establishment and upkeep of client accounts and documentation. This position encompasses a variety of administrative tasks, including but not limited to, document preparation, correspondence management, filing, and phone support. The associate is responsible for providing comprehensive customer service to clients and may execute trades as directed by the FAs. While FINRA licenses are preferred, they are not mandatory.

Key Responsibilities
  • Execute clerical tasks associated with initiating client accounts and maintaining accurate account coding based on client selections.
  • Collaborate with FAs and clients to gather necessary documentation for various account types.
  • Organize and maintain thorough records of client accounts and trade-related documentation for FAs and essential branch files.
  • Handle operational or administrative requests related to client services (e.g., check requests, fund transfers, address updates, dividend inquiries).
  • Provide quotes and account-related information to clients upon request; non-registered associates should refrain from unsolicited stock information.
  • Deliver reports and other pertinent information to FAs as needed.
  • Recognize and escalate situations requiring the attention of FAs or the Branch Manager, including any suspicious activities.
  • Perform various administrative duties such as typing, filing, answering phones, and mailing documents, along with other tasks assigned by the FA or Branch Manager.
Qualifications
  • Administrative Knowledge: Familiarity with administrative and clerical processes, including word processing, spreadsheet management, and office procedures.
  • Industry Knowledge: Basic understanding of the investment brokerage sector and securities regulations, along with a fundamental grasp of investment products.
  • Time Management: Ability to prioritize and manage multiple tasks and deadlines effectively, ensuring goals are met and resources are utilized efficiently.
  • Critical Thinking: Employ logic and reasoning to assess various solutions and approaches to practical challenges.
  • Customer and Interpersonal Skills: Knowledge of principles for delivering exceptional customer service, including needs assessment and quality standards.
  • Communication Skills: Proficient in conveying information clearly in both spoken and written forms, demonstrating excellent grammar and professional etiquette.
Education & Experience
  • Minimum Required: High School Diploma or equivalent.
  • Minimum Required: 2 years of clerical or related industry experience.
Licenses & Credentials
  • Preferred: Series 7 and 66 licenses (not required).
Systems & Technology
  • Proficient in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
