Job Summary

We seek an Administrative Assistant to contribute to the precise management of our claims tracking system. As an integral member of our team, you will facilitate internal communications and proactively engage in the identification, examination, and resolution of any discrepancies or concerns that emerge throughout the claim entry procedure.

Key Responsibilities
  1. Claims Investigation: Conduct thorough investigations to address and rectify any issues arising during the claims entry process, ensuring accuracy and efficiency in documentation and reporting.
  2. Scenario Identification: Proactively identify challenging scenarios and escalate them to the relevant stakeholders, ensuring timely resolution and minimal disruption.
  3. Communication Liaison: Act as the primary liaison between peer reviewers, the Medical Director, and additional team members, facilitating clear and constructive communication to support operational goals.
  4. Project Management: Engage in a variety of projects, demonstrating flexibility and a keen ability to adapt priorities as needed throughout the day to meet evolving business needs.
  5. Project Issue Monitoring: Diligently monitor and guide multiple project issues towards resolution, showcasing exceptional problem-solving skills and attention to detail.
  6. Meeting Support: Accurately record meeting agendas and minutes, capturing essential details and action items to ensure team alignment and progress.
  7. Financial Management: Prepare and review monthly/biweekly invoices for approval, maintaining meticulous financial records and adherence to billing cycles.
  8. Technical Support: Utilize your excel skills to create and manage spreadsheets that enhance workflow management and operational efficiency.
  9. Event Support: Provide essential technical support for webinars, assisting with setup and troubleshooting to ensure smooth execution of virtual events.
Requirements
  • Education: High School diploma or GED required; Associate degree is preferred.
  • Technical Skills: Proficient in Microsoft Office suite (Word, Excel, PowerPoint), Adobe or other PDF software, SharePoint, Teams, Outlook.
  • Attention to Detail: Demonstrates an exceptional attention to detail in all tasks.
  • Team Player: Strong team player with a positive outlook towards team and client interactions.
  • Communication Skills: Ability to draft professional, polished emails and communicate effectively in written and verbal forms.
  • Confidentiality: Familiar with confidentiality policies and procedures, with the ability to navigate and utilize electronic systems proficiently.
  • Multitasking: Proficient in multitasking across projects, prioritizing tasks efficiently, and working collaboratively within a team setting.
  • Problem-Solving: Maintains composure and professionalism when handling challenging situations.
  • Claims Management: Experienced in managing claims through the review process and monitoring the status of each claim daily.
  • Collaboration: Ability to collaborate effectively with other Administrative Assistants to balance workload and assist in coordinating monthly meeting presenters.
  • Internet Requirements: Requires high-speed, reliable internet service for handling high-volume document management and participating in Teams meetings.
  • Customer Service: Excellent verbal and listening skills for courteous and professional customer interactions.
  • Independence: Independent worker capable of operating with minimal oversight, maintaining availability during standard business hours.
  • Concern Identification: Keen ability to identify concerns and communicate effectively with the team and supervisors.
  • Medical Terminology: Medical terminology knowledge is beneficial but not mandatory.
  • Proofreading: Proofreading skills to ensure accuracy and clarity in all communications.
