The Event Coordinator acts as the primary liaison between clients and venue operations, overseeing the preparation and execution of various events. This role is essential for ensuring a seamless experience for all stakeholders involved.

This is a full-time opportunity with a competitive salary and benefits package. Flexibility to work evenings, weekends, and holidays is required, in addition to standard business hours.

KEY RESPONSIBILITIES:

  • Serve as the main point of contact for all private and special events at the venue.
  • Deliver outstanding customer service to both internal and external clients.
  • Manage event scheduling and timing to ensure smooth operations.
  • Collaborate with catering services to confirm that all food and beverage details align with budgetary constraints.
  • Oversee day-of event coordination, including load-in, setup, and breakdown activities.
  • Create detailed event resumes and scaled room layouts for distribution.
  • Work closely with operations teams to ensure event specifications are met during setup and breakdown.
  • Coordinate with marketing teams to keep digital platforms updated with relevant event information.
  • Conduct safety inspections prior to event gates opening and manage security assignments.
  • Compile event summaries that include attendance figures, timings, and any significant issues encountered.
  • Assist in the recruitment of event staff to maintain operational efficiency.
  • Regularly evaluate processes and procedures for effectiveness and recommend improvements.
  • Perform additional duties and special projects as assigned.
QUALIFICATIONS:

To excel in this role, candidates must demonstrate the ability to fulfill each essential duty effectively. Reasonable accommodations may be made for individuals with disabilities to perform essential functions.
  • Bachelor's degree in event management or a related field from an accredited institution.
  • A minimum of 3 years of experience in event coordination or a customer service-oriented role.
  • Experience in sports, entertainment, or corporate environments is preferred.
  • Exceptional verbal and written communication skills.
  • Proven ability to maintain excellent client relations and collaborate within a team.
  • Strong proficiency in Microsoft Office Suite and familiarity with Adobe Creative Suite.
  • Ability to meet the scheduling demands of the position.
  • Successful completion of a comprehensive background check is required.
  • Must be authorized to work in the U.S.
PHYSICAL REQUIREMENTS:

Candidates must be capable of walking long distances, including navigating stairs, and performing tasks that require standing, sitting, bending, kneeling, climbing, grasping, stretching, stooping, and reaching overhead.

Ability to work in moderate to very loud environments is essential.

Candidates should be willing to work in various weather conditions, including heat, rain, cold, snow, and wind.

SCHEDULE:

This is a full-time position requiring availability during non-standard hours, including weekends, evenings, and holidays, in addition to regular business hours.
