Job Summary

Gaston College seeks a highly skilled and detail-oriented Administrative Coordinator to provide exceptional support to the Chief Information Officer and the Technology Services Department. As a key member of the team, you will be responsible for performing a variety of administrative duties, including creating departmental correspondence, managing calendars, and responding to inquiries with a strong customer service focus.

Key Responsibilities
  • Administrative Support: Provide administrative support to the Chief Information Officer and the Technology Services Department, including creating departmental correspondence, managing calendars, and responding to inquiries with a strong customer service focus.
  • Project Coordination: Facilitate, monitor, and oversee department purchasing, inventory, and requisitioning of supplies and equipment, including purchase requests, receivables, vendor invoices, and software/hardware maintenance renewal contracts.
  • Time Management: Prioritize tasks based on urgency and manage the submission and audit of timesheet entries for Technology Services staff and work-study employees.
  • Communication: Support the Chief Information Officer and Technology Services staff through a variety of tasks related to the organization, including answering questions and responding to requests, receiving and directing visitors, staff, students, and faculty.
  • Office Management: Operate and upkeep a variety of office equipment, including computers, copiers, and other office machinery.
  • Correspondence: Open, sort, and distribute incoming correspondence, and schedule/coordinated meetings, appointments, travel requests/reimbursements, work orders, and create and reconcile expense reports.
  • Professional Development: Participate in professional development activities to enhance job knowledge and stay up-to-date on changing trends and technology associated with assigned area of responsibility.
  • Vendor Management: Maintain vendor contacts and coordinate joint activities with outside agencies.
  • Team Collaboration: Organize office and assist team members in ways that optimize daily procedures, attend meetings, and serve on College committees as requested.
  • Project Completion: Provide assistance in the completion of projects and goals of Technology Services, ensuring tasks/projects are completed accurately and delivered with high quality and in a timely manner.
  • Customer Service: Explain policies and procedures to customers based on knowledge of the College and/or Technology Services, and provide a high level of service to customers by establishing and maintaining effective working relationships and partnerships.
  • Confidentiality: Maintain a high standard of professional and ethical practice in representing the College, maintain confidentiality of sensitive and/or confidential information, and demonstrate a thorough knowledge of the field or discipline with continued adherence to professional accountability.
Requirements
  • Education: Associate degree from a nationally accredited institution required, and four years of related work experience or a combination of completed education and/or work experience equal to six years.
  • Experience: At least three years of experience in an administrative/clerical support role required, five years' experience preferred.
  • Skills: Advanced working knowledge of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) required, and ability to work efficiently on simultaneous projects and manage time within a fast-paced environment.
  • Personal Qualities: Excellent interpersonal, written, and verbal communication skills required, and ability to translate complex technical issues into simple terms.
