POSITION SUMMARY

The Executive Assistant is crucial in ensuring the smooth operation of executive leadership at Metrc. This role encompasses managing administrative functions, coordinating executive schedules, and fostering effective communication among executives and stakeholders. The ideal candidate will possess outstanding organizational abilities, discretion, professionalism, and the capacity to manage sensitive information confidentially.

PRIMARY RESPONSIBILITIES

Key responsibilities include:

  • Upholding Metrc's Leadership Principles.
  • Providing administrative support, including drafting and editing correspondence and preparing communications for executives.
  • Coordinating meetings, travel arrangements, and managing correspondence for the executive team.
  • Maintaining accurate corporate records, presentations, documents, and reports.
  • Performing basic accounting and bookkeeping tasks.
  • Organizing meetings, including scheduling, sending reminders, and arranging catering as needed.
  • Answering incoming calls professionally and accurately relaying messages.
  • Welcoming visitors and directing them to the appropriate department based on their needs.
  • Managing the executive's calendar, prioritizing appointments and sensitive matters.
  • Handling confidential information with the highest level of discretion.
  • Coordinating travel logistics and creating detailed itineraries.
  • Utilizing various software tools, including word processing and spreadsheets, to prepare reports and special projects.
  • Exhibiting professionalism in all interactions and maintaining integrity.
  • Proactively building positive relationships, anticipating needs, and addressing concerns to enhance collaboration and efficiency.
  • Performing additional duties as assigned.

QUALIFICATIONS

  • 2-3 years of experience as an Executive Assistant or in a similar role supporting C-level executives.
  • Exceptional time management skills and the ability to meet deadlines.
  • Strong verbal and written communication abilities.
  • Well-developed organizational skills with the capacity to multitask.
  • Problem-solving and decision-making capabilities.
  • Ability to act as a gatekeeper and escalate relevant information to executives as necessary.
  • Proficient in standard office equipment usage.
  • Ability to work independently with minimal supervision.
  • Strong interpersonal skills.
  • High level of professionalism and confidentiality.
  • Exceptional attention to detail.
  • Familiarity with Microsoft Office Suite and other relevant software is advantageous.
  • Educational background: One-year certificate from a college or technical school; or three to six months of related experience and/or training; or an equivalent combination of education and experience.

WORK ENVIRONMENT

  • This is an in-office position, typically requiring attendance four days a week or more based on executive needs.
  • Frequent sitting and communication activities are required.
  • Visual acuity is necessary for operating equipment and reading technical information.
  • Must be able to lift up to 15 pounds occasionally.
