Job Title: Administrative Operations Manager

Estimated Salary: $50,000 - $70,000 per year

About the Role:

We are seeking a highly organized and detail-oriented Office Manager to join our team at Joyful Jobs. As an Administrative Operations Manager, you will be responsible for managing the firm's administrative operations and working closely with our accountants to provide exceptional audit, tax, and consulting services.

Key Responsibilities:

  • Manage client contact information in our client relationship management software
  • Draft various documents and coordinate the process of obtaining client signatures
  • Use project management software to track work in progress across the firm
  • Communicate directly with clients to obtain information required to complete tax returns
  • Receive and organize client records, digitize them, and return physical records to clients
  • Perform initial preparation work for tax returns, including inputting simple financial information into tax software
  • Schedule appointments, take messages, run errands, and provide general support to professional staff as needed
  • Assist accountants with basic audit procedures and occasionally visit client sites to perform work
  • Provide reception and administrative support, including making and answering telephone calls and assisting clients in the office

Qualifications, Skills & Required Attributes:

  • High school diploma or equivalent; some college coursework or relevant prior experience is preferred
  • Strong organizational and time management abilities
  • Excellent verbal and written communication skills
  • Proficient in MS Office (Word, Excel) and willing to learn specialized accounting, tax, audit, and project management software
  • No accounting or tax experience required, but willingness to participate in online training classes as part of initial training
  • Strong problem-solving skills with attention to detail and high level of professionalism and confidentiality
  • Ability to work independently, prioritize tasks, and take initiative in a fast-paced environment
  • A collaborative mindset with a positive, can-do attitude
  • Strong analytical abilities for managing data and reporting
  • Willingsness to consent to a background check and credit check if hired

Schedule & Additional Information:

  • Full-time position with flexible scheduling
  • Occasional flexibility to work evenings or weekends to meet client deadlines (unusual and infrequent)
