The Event Planning Specialist will collaborate with the Special Event Planner on various details and administrative responsibilities throughout the event planning journey. This includes liaising with clients, making necessary adjustments to events, processing payments, informing other departments of event specifications, and ensuring timely responses to communications.

Key Responsibilities of the Event Planning Specialist:

  • Assist in developing Special Event Orders with meticulous attention to detail.
  • Accurately enter order details into Caterese software.
  • Support the creation of event layouts using AllSeated.
  • Facilitate client interactions by promptly responding to voicemails and emails.
  • Confirm scheduled meetings, planning sessions, and tastings.
  • Timely order rental equipment for events, including cost summaries and purchase orders as needed.
  • Coordinate with Operations regarding event logistics.
  • Oversee event deposits, payments, and accounts receivable to ensure timely collection of all payments.
  • Attend events as required to guarantee service quality and presentation standards.
  • Deliver efficient and professional service to meet or exceed client expectations.

Qualifications for the Event Planning Specialist:

  • 1-2 years of experience in catering or banquet administration.
  • Excellent verbal and written communication skills, coupled with a friendly demeanor.
  • Ability to maintain organization while managing multiple projects.
  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Publisher.
  • Familiarity with Caterease and AllSeated is preferred.
