Position Summary:

We are seeking a motivated and skilled Event Production Associate to contribute to our dynamic team. In this capacity, you will work closely with senior Producers to execute outstanding experiential events. Your role as an Event Production Associate will be crucial in supporting various aspects of event management, significantly aiding in the fulfillment of client goals.

Key Responsibilities:

Office Responsibilities:

  • Assist the Producer in developing and maintaining production documentation throughout the event lifecycle, including work statements, timelines, budgets, design approvals, operational manuals, performance reports, expense tracking, and post-event evaluations.
  • Take initiative in sourcing and acquiring essential event materials, such as decorations, furniture, promotional items, staffing, venues, rentals, or new specialty suppliers.
  • Oversee and manage expenses in alignment with the internal budget, ensuring accurate tracking of receipts and expense documentation.
  • Contribute to the process of obtaining necessary permits from local and state authorities for special events, food services, road closures, and other specific program needs.
  • Play a key role in designing and managing the visual presentation of each event, ensuring that aesthetic and atmospheric elements are in harmony with the brand's story, leaving a memorable impact on attendees.

Onsite Responsibilities:

  • Work closely with Producers to guarantee the timely and effective execution of all onsite activities.
  • Assist in managing the Run of Show, ensuring compliance with schedules and the well-being of the crew through appropriate breaks.
  • Actively participate in implementing experiential marketing strategies and contribute to meeting client Key Performance Indicators (KPIs) during event days.
  • Provide support in adapting to necessary changes or contingency plans as required.

Job Qualifications:

  • Education: A Bachelor's degree is required.
  • Experience: A minimum of 3 years of relevant experience.
  • A strong passion for and enthusiasm in event production and experiential marketing.

Requirements:

  • Exceptional verbal and written communication skills.
  • Ability to excel in a fast-paced work environment.
  • Strong analytical skills in high-pressure situations.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with task management or project management software (Asana is a plus).
  • Willingness to travel frequently (varies by account and season).
