Position Summary:

We are seeking a skilled and passionate Event Production Associate to contribute to our efforts. In this position, you will work closely with Producers to execute outstanding experiential events. As an Event Production Associate, your contributions will be crucial in supporting various aspects of event execution, significantly aiding in the fulfillment of client goals.

Key Responsibilities:

Office Responsibilities:

  • Work in tandem with the Producer to develop and oversee production documentation throughout the project lifecycle, including statements of work, work-back schedules, budgets, artwork approvals, operations manuals, metrics reports, expense reports, and post-event summaries.
  • Take initiative in sourcing and acquiring essential event resources, such as décor, furniture, giveaways, personnel, venues, rentals, or new specialty vendors.
  • Track and manage expenses against the internal budget, ensuring precise handling of receipts and expense documentation.
  • Assist in obtaining permits from local and state authorities for special events, food service, road closures, and other unique program needs.
  • Play a key role in curating and managing the visual presentation of each event, ensuring that aesthetic and atmospheric elements resonate with the brand's story, leaving a memorable impact on attendees.

Onsite Responsibilities:

  • Collaborate closely with Producers to ensure the prompt and effective completion of all onsite tasks.
  • Support the management of the Run of Show, ensuring adherence to timelines and the well-being of the crew with necessary breaks.
  • Actively engage in the implementation of experiential marketing strategies and contribute to achieving client Key Performance Indicators (KPIs) during each event day.
  • Provide assistance in managing necessary adjustments or contingency plans as required.

Job Qualifications:

  • Education: A Bachelor's degree is mandatory.
  • Experience: A minimum of 3 years of relevant experience is required.
  • A strong passion for and interest in event production and experiential marketing.

Requirements:

  • Exceptional verbal and written communication abilities.
  • Capability to excel in a fast-paced work environment.
  • Strong analytical skills in high-pressure scenarios.
  • Proficiency in Microsoft Office.
  • Familiarity with task management or project management software (Asana is a plus).
  • Willingness to travel extensively (varies by account and season).
