United Utility Supply is seeking a highly skilled Executive Assistant to provide administrative support to our leadership team.

Job Summary

This role will involve assisting with communication, calendar management, travel arrangements, and staff assistance. The successful candidate will also contribute to company initiatives, including meetings, trade shows, and promotional materials.

Duties and Responsibilities
  • Provide administrative support directly to the VP of Sales and Operations, ensuring seamless communication and coordination.
  • Coordinate meetings, both virtual and in-person, for UUS team members, including logistical arrangements and preparation of necessary materials.
  • Book travel, hotel, and dinner reservations as needed, utilizing industry-standard software and best practices.
  • Create, edit, and present PowerPoint presentations for the team, showcasing data-driven insights and visual appeal.
  • Assist in the creation and distribution of organizational reports, leveraging data analysis skills and attention to detail.
  • Serve as liaison between board members and staff, facilitating effective communication and resolving issues promptly.
  • Coordinate annual UUS member meeting dates, including sending notices and compiling lists of expiring terms for each state.
  • Act as Assistant Corporate Secretary, responsible for minutes of formal and board meetings, ensuring accuracy and compliance.
  • Order team supplies for UUS offices, streamlining operations and maintaining a well-stocked environment.

We are seeking an exceptional candidate with a bachelor's degree, 2 years of experience in an assistant role, excellent communication skills, and Microsoft Office proficiency. A valid driver's license and willingness to travel up to 15% are required.
