Position Summary:


The HR Coordinator plays a vital role in maintaining the smooth daily operations of the administrative functions within the Office of Human Resources, particularly in the areas of Classification, Compensation, Recruitment, and HRIS.

This position is also cross-trained to perform the responsibilities of other HR Coordinators during their absence.

The HR Coordinator is tasked with providing direct administrative and clerical support to all Human Resources personnel and may oversee tasks assigned to temporary staff within the office.

The organization will annually review this restriction and may expand the list of states of employment eligibility if appropriate.

Job Duties and Responsibilities:
Respond to HR mailbox communications on a daily basis.

Provide assistance to the Recruitment, Classification, Compensation, and HRIS functions.

Prepare, update, and distribute HR materials, including templates, job descriptions, new hire documents, memos, and process documentation for subpoenas.

Prepare, track, and process personnel action forms.

Maintain the Outlook CWB distribution list and update tracking logs.

Manage the administrative workflow of the HR office, including greeting visitors, answering the main phone line, and directing inquiries.

Send maintenance requests as necessary.

Update the HR internet and intranet pages, ensuring links function properly and information is current.

Handle employment verifications, including Public Student Loan Forgiveness requests.


Ensure Labor Law posters are current and displayed in each designated physical location and electronically; coordinate mandatory training compliance and produce audit reports.

Process employee/dependent tuition waivers.

Schedule and support bi-monthly supervisor forums, including PowerPoint slide facilitation.


Maintain both paper and electronic image files for correspondence, reports, personnel records, and other HR documents; ensure compliance with record-keeping legislation and arrange for document shredding and annual archives.

Cross-train and cover duties for other HR Coordinators as needed.

Perform additional duties as assigned by the Executive Director or HR Director.

Required Qualifications:
Five years of relevant experience.

Minimum education level:
a high school diploma or GED.


Advanced computer skills, with a high level of proficiency in all Microsoft Office suite applications: Word, Excel, Outlook, and PowerPoint.

High level of proficiency with administrative database software systems and familiarity with HR tracking and applicant tracking systems.

Excellent oral, written, and interpersonal communication skills, including grammar, spelling, punctuation, editing, and proofreading skills, are required.

Ability to manage multiple tasks efficiently and effectively, work independently and in a collaborative environment.

Ability to handle sensitive and confidential materials with discretion and tact.

Preferred Qualifications:
Experience in Human Resources administration is preferred.
