Operations Coordinator Job Description

As an Operations Coordinator at Jewish Family & Children's Service, you will play a vital role in ensuring the smooth day-to-day operations of our front-desk staff. This position is responsible for managing assigned front-desk operations staff, including hiring, scheduling, monitoring workload, conducting performance evaluations, and implementing disciplinary action.

Responsibilities

Key Responsibilities:

• Monitor staffing assignments to optimize impact on clinic and patient visits. • Coordinate staff vacation requests and arrange for coverage of critical office functions. • Assist with strategic planning for clinic operations. • Oversee application assignments. • Conduct staff meetings. • Track incoming and outgoing members manually. • Monitor several required reports that sustain front-end operations. • Track petty cash funds monthly. • Coordinate case transfers to other sites within the agency and to other agencies/networks. • Plan individual work assignments for Operations staff. • Assist in communicating operational policy and procedures to staff at their site. • Provide orientation and ongoing training for office functions. • Coordinate the intake process, ensuring that intakes are processed according to contract requirements and Operations policy. • Purchase supplies, maintain phone lists, and new-hire tracking.

Requirements:

• High school diploma with coursework or significant experience in computer science and/or records management preferred. • Bachelor's degree in business, management, or computer science is preferred and may be considered in place of required experience. • Previous work experience in a position requiring significant public contact, preferably in a medical office, office organization skills, and ability to type 45 wpm. • Prior Behavioral Health experience is preferred. • Supervisory experience. • Computer experience with NextGen and Microsoft Office preferred.
