Event and Program Manager

Position Summary: The Event and Program Manager is a key member of the San Diego East County Chamber of Commerce, directly reporting to the Chamber President/CEO. This role is essential for orchestrating all Chamber-related events and programs. As the main liaison for events, the Manager will collaborate closely with the CEO, Chamber members, business proprietors, marketing teams, and event exhibitors to ensure successful execution from inception to conclusion. The Manager will also oversee volunteer coordination and foster relationships with sponsors, donors, venue representatives, and attendees to enhance community engagement and promote the Chamber's mission.
Key Responsibilities:
- Directly report to the President & CEO.
- Maintain regular communication and collaboration with the President & CEO regarding event planning.
- Coordinate with staff, vendors, exhibitors, and stakeholders throughout the event planning process.
- Manage all events, including but not limited to: First Friday Breakfast, Dine & Dialogue, Leadership programs, and various networking mixers.
- Work with internal teams and external contractors to create and disseminate event listings across various marketing platforms.
- Oversee event setup, breakdown, and follow-up activities.
- Establish standardized procedures for events and train staff to ensure effective execution.
- Collaborate with the President & CEO to develop and adhere to event budgets.
- Negotiate contracts and consult with the President & CEO regarding event logistics.
- Recruit and guide committee members and chairs in collaboration with the President & CEO and Board Chair.
- Develop strategic plans to delegate tasks based on individual strengths and community connections.
- Work with committees to facilitate events, gather feedback, and implement improvements.
- Set timelines for critical deadlines, including sponsorships, donations, and RSVPs.
- Prepare event schedules, including volunteer assignments, to be distributed at final committee meetings.
- Monitor key performance indicators for events and identify areas for enhancement.
- Collaborate with the Chamber team to support various departmental initiatives.
- Assist in the maintenance and development of internal tools and technologies.
- Oversee membership engagement and growth initiatives.
- Continuously enhance knowledge through workshops, research, and seminars, sharing insights with the team.
- Provide administrative support in the Chamber office, including phone assistance.
- Contribute to marketing and social media efforts.
- Support membership-related activities.
Required Skills:
- Proven experience in event management and production.
- Ability to collaborate with diverse stakeholders to create a unified vision for events and membership.
- Strong independent working capabilities.
- Experience in coordinating large-scale events.
- Familiarity with event operations and logistics.
- Ability to meet strict deadlines.
- Positive attitude and strong work ethic.
- Skill in developing community relationships.
Analytical Skills:
- Ability to analyze problems and evaluate multiple options in various situations, requiring intermediate analytical and quantitative skills.
Scope of Responsibility:
Decisions are made with a general understanding of procedures, company policies, and business practices to achieve desired outcomes and deadlines. Responsible for establishing project timelines. Errors in judgment may have short-term impacts on colleagues and supervisors.
Compensation: $16.00 per hour
