Key Responsibilities:

  • Execute a comprehensive range of administrative support tasks, facilitating workflow within a manager's office, typically reporting to a middle- to upper-level manager. Generate reports and perform various duties aligned with this role, such as addressing customer service inquiries, coordinating events/functions, processing documents, inputting data and orders, and managing departmental purchases.
  • Investigate, resolve, and respond to general customer inquiries; escalate complex issues for further resolution.
  • Retrieve records or data and disseminate information appropriately to ensure timely and accurate communication with department members or external clients.
  • Collect and summarize data from diverse sources to complete reports and special projects.
  • Update and maintain databases, systems applications, or files to guarantee accurate and current information is accessible for others.
  • Conduct basic to intermediate analysis on received information, researching or resolving discrepancies in accordance with established procedures.
  • Organize meetings, coordinate travel arrangements, and maintain appointment calendars for department managers or supervisors; may also manage meeting amenities.
  • Draft and type standard correspondence and memoranda based on specific instructions and prepare documents for distribution.
  • Maintain and update established websites with the assistance of basic web publishing software applications.
  • Process and distribute incoming and outgoing mail, interoffice messages, faxes, and voicemail messages throughout the department.

Qualifications:

  • The Staffing and Recruiting HR Coordinator plays a crucial role in maintaining workflow through the Applicant Tracking System and HR Connect.
  • This position is responsible for managing several shared mailboxes utilized by both internal and external contacts.
  • Proficient in Microsoft Outlook, basic Excel skills, capable of handling confidential data with respect, managing a high volume of work, transitioning swiftly between tasks, demonstrating good customer service skills, maintaining a professional demeanor, and possessing an approachable and helpful attitude. Ability to prioritize workflow and quickly learn new computer applications is essential.
