The Payroll and Compliance Coordinator is a critical role within Home Instead of Illinois, responsible for ensuring the accuracy and compliance of payroll and billing processes. This position requires a high level of attention to detail, organizational skills, and the ability to maintain confidentiality.
Key Responsibilities:
- Assist with the preparation and processing of invoices for clients, ensuring timely and accurate billing.
- Support accounts receivable (AR) and accounts payable (AP) tasks, maintaining accurate records and documentation.
- Process payrolls for all employees, including hourly, salaried, and commissioned staff, and maintain accurate payroll records.
- Assist with benefits administration, including unemployment claims and workers' compensation.
- Perform data entry and record-keeping tasks, ensuring accurate employee records and compliance with regulatory requirements.
- Audit client and employee digital files regularly to ensure accuracy and compliance.
- Conduct quarterly audits of client files and employment records to ensure compliance with Illinois licensure requirements.
- Assist with HIPAA compliance and maintain confidentiality of sensitive information.
- Update the Business Manager on any compliance concerns, problems, or issues within the business in a timely manner.
Secondary Responsibilities:
- Assist with conducting reference checks, criminal background checks, and motor vehicle checks on Care Professionals, following Home Instead Senior Care standards.
Critical Numbers:
- 100% accuracy of client and caregiver files in accordance with Home Instead Senior Care Standards and Local, State, and Federal Laws.
- Monthly audit and compliance reports completed for all franchises and submitted to the Business Manager.
Job Requirements:
- High school diploma or equivalent required.
- 1-2 years of experience in payroll, compliance, or a related field.
- Excellent organizational and communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency in Microsoft Office and HRIS systems.
