Position Overview:
This role entails providing essential administrative support within a workforce career center. The Administrative Assistant I will work independently to assist the Center Manager, supervisors, and partners with various administrative tasks.
Key Responsibilities:
- Assist in the preparation of reports for supervisory evaluation and decision-making.
- Gather and draft correspondence for supervisor approval.
- Manage routine correspondence and prepare responses.
- Utilize various software applications to create reports and documentation.
- Screen and direct incoming communications to appropriate personnel.
- Oversee fiscal and personnel functions, including file maintenance and service agreements for office equipment.
- Coordinate staff travel and ensure compliance with established procedures.
- Review and verify staff time sheets for accuracy.
- Act as the designated Purchasing Card Approver for agency-issued cards.
- Complete special assignments as directed by the Center Manager.
- Perform additional related duties as required.
Required Skills and Qualifications:
- Ability to effectively promote and market the Career Center.
- Strong communication skills, both verbal and written.
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Understanding of applicable rules and regulations.
- Ability to work collaboratively and maintain effective relationships.
- Problem-solving skills and the ability to work independently.
- Effective listening and customer service skills.
Preferred Qualifications:
- A degree in Business, Human Services, Education, or a related field.
- Relevant professional experience.
- Familiarity with databases and online research.
- Registration in EmployFlorida.
