Personal Assistant to CEO

Job DescriptionAs a highly skilled and organized Personal Assistant to the CEO, you will play a vital role in supporting the professional, personal, and family coordination of the CEO. This is a unique opportunity to work in a fast-paced environment and be part of a dynamic team.

Key Responsibilities
  • Coordinate and facilitate programs to support the optimal development of the CEO's child with special needs, including coaching and participation in sports such as tennis, basketball, and swimming.
  • Manage all aspects of the child's calendar and schedule, ensuring seamless coordination and communication.
  • Proactively deliver positive results and handle requests and queries efficiently and effectively.
  • Manage time effectively, prioritize tasks, and execute responsibilities in a timely fashion.
  • Act as a first point of contact for the CEO, answering phone calls and directing them appropriately.
  • Keep digital records of tasks and longer-term projects, tracking progress using MS Office, MS Teams, and related software.
  • Transport the CEO, family, and clients to and from appointments, and travel domestically and internationally when needed.
  • Pick up and deliver items or run errands for the CEO, clients, and family, and shop for the CEO and children.
  • Maintain high levels of discretion and confidentiality in all aspects of responsibilities.
  • Maintain and report on financial records and activity, storing receipts from purchases, comparing with credit cards, processing returns, etc.
  • Occasionally perform office duties and record notes and messages for the CEO.
  • Must be dog friendly and take the dog to the vet occasionally.
Qualifications
  • Bachelor's degree required in a related field.
  • Experience working with children in an education/development environment is required.
  • Excellent time management and organization, incredibly detailed-oriented.
  • Excellent oral communication, active listening, and written communication skills.
  • Experience with financial recordkeeping.
  • Strong customer service and social skills.
  • Spanish speaking skills a plus.
  • Passport Ready.
  • Must be able to work overtime and occasionally on the weekends.
  • Comfortable lifting 30-50lbs.
  • Driver's license with a clean driving record and reliable transportation.
