Job Summary

We are seeking a highly skilled and organized Executive Secretary/Administrator to join our team at Triup, Inc. This role will be responsible for managing general office duties, assisting with the President's duties, and corresponding with clients, business partners, and vendors.

Key Responsibilities
  • Provide administrative support to the President and other executives, including preparing documents, reports, and presentations, and coordinating meetings and travel arrangements.
  • Manage office services, including evaluating and developing office policies and procedures, and anticipating future needs as the organization grows.
  • Process payroll, manage accounting and expense support, and work closely with outsourcing companies.
  • Compile, proofread, and revise drafts of documents and reports, and prepare and create reports, presentations, and correspondence accurately and swiftly.
  • Answer and screen telephone calls, respond to emails, messages, and other correspondence, and manage and maintain clients' and vendors' records, documents, and agreements.
  • Translate reports and documents into Japanese and vice versa, and professionally greet and receive guests and clients.
Requirements
  • Bachelor's degree in business administration or relevant field is preferred.
  • Self-starter with planning skills, organizational skills, notetaking ability, and attention to detail are required.
  • Ability to type with enough speed and accuracy to take meeting notes, and ability to be a strong team player are required.
  • Excellent communication skills, both spoken and written, and solid research abilities, including critical thinking and analysis, are required.
  • Strong computer proficiency, including Microsoft Office (Word, Excel, PowerPoint), and ability to read, write, and speak fluent Japanese and English are required.
