We are seeking an experienced Leave Coordinator Specialist to join our team at Ohm Systems, Inc. This role involves managing and coordinating all aspects of the leave of absence (LOA) process, ensuring compliance with company policies and federal/state regulations.

The ideal candidate will have a thorough understanding of federal and state leave laws, including FMLA and ADA, and be proficient in Microsoft Office (Excel, Access, Word) and HRIS systems.

This position requires strong analytical and decision-making abilities, excellent oral and written communication skills, and the ability to maintain confidentiality and handle sensitive matters discreetly.

Key Responsibilities:

  • Administer and track LOA programs, including FMLA, ADA, Workers' Compensation, Military Leave, STD, and LTD.
  • Educate employees and managers on leave policies and procedures, ensuring compliance with state and federal regulations.
  • Provide guidance on paycoding, update LOA status in HR systems, and audit payroll data for accuracy.
  • Prepare and distribute compliant leave-related correspondence, including notifications, approval letters, and packets.
  • Collaborate with payroll, HR, and vendors to reconcile insurance claims, overpayments, and billing.
  • Participate in calls with Legal and HR on complex LOA and ADA accommodation cases.
  • Monitor compliance with evolving legislation, recommend policy updates, and assist with mergers or acquisitions impacting LOA processes.
