About the Role

The Facilities and Maintenance Department at Matson Terminals, Inc is seeking a highly skilled and experienced professional to fill the position of Facilities and Maintenance Office Manager. This role is responsible for the management of the storeroom and the F&M office, as well as supervising a team of storeroom clerks and office clerks.

Key Responsibilities
  • Administrative Support: Provide administrative support to the Facilities and Maintenance Department Managers and senior supervision to ensure effective, efficient, and responsive operation of the department.
  • Data Management: Manage the input of F&M data into Matson's maintenance and other related systems, including payroll, equipment hours and dispositions, preventive service maintenance programs, equipment and parts inventories, personnel data, and time keeping.
  • Budget Management: Coordinate the development of the initial F&M budget, which includes Honolulu and Neighbor Islands, and revise budget in conjunction with the Facilities and Maintenance Department Managers.
  • Financial Management: Monitor budgets to ensure proper management control of company funds, develop and monitor the G&A budget, and manage the processing of invoices to ensure accountability for all maintenance and repair expenditures.
  • Reporting and Compliance: Manage the production and distribution of required and appropriated reports for use in Honolulu and headquarters, review OM & R contracts and invoices to ensure compliance with contract terms and rates, and update and monitor SOX compliance requirements.
  • Project Management: Manage the CY gate scales, elevators, buildings & yard maintenance, and other project management duties in support of the Facilities and Maintenance Department Managers.
  • Inventory Management: Manage the parts room and storage room activities, including purchase orders, scheduling, process flows, and approval processes, and coordinate quarterly physical inventory and controls.
  • Financial Controls: Apply financial controls and monitoring to meet General Accounting Practices.
Requirements
  • Leadership: A demonstrated ability to lead people.
  • Problem Analysis and Resolution: Ability to think ahead and plan, manage multiple priorities, and resolve problems at a functional level.
  • Interpersonal and Communication Skills: Excellent interpersonal and communication skills, with a strong team player attitude.
  • Computer Proficiency: Computer proficiency, with experience in project management and general accounting practices.
  • Union Labor Experience: Ability to work with union labor.
  • Education and Certifications: A college degree in business/accounting or equivalent, and the ability to obtain and maintain a TWIC card.
