Job Overview

Position Summary

The role is responsible for managing and processing financial information across all departments within the dealership, ensuring a clear and accurate representation of the business's financial health. This position reports directly to the dealer/general manager and oversees all accounting and administrative operations.

Key Responsibilities

  • Recruit, train, and oversee office staff.
  • Evaluate and streamline office workflows and procedures.
  • Generate comprehensive monthly financial statements in accordance with dealership standards and manufacturer requirements.
  • Manage all documentation, including time records, vehicle transactions, commissions, and inventory adjustments.
  • Prepare daily bank deposits and cash reports.
  • Implement an efficient cash management system and forecast cash requirements.
  • Administer petty cash for the dealership and sales divisions.
  • Deliver timely daily operating controls (DOC) and keep management informed of financial trends.
  • Conduct monthly reconciliations of selected accounts.
  • Authorize adjustments to inventory and receivable accounts.
  • Ensure all manufacturer accounts, including warranty claims and rebates, are accurate and up-to-date.
  • Generate monthly journals, schedules, and general ledgers, and close the accounting month effectively.
  • Participate in the development of short and long-term financial forecasts.
  • Assist in the annual review and audit processes.
  • Ensure adherence to all regulatory requirements.
  • Process payroll accurately and maintain payroll documentation.
  • Prepare tax reports, deposits, and returns in a timely and precise manner.
  • Manage employee health and life benefit payments.
  • Stay informed about current factory incentives and update dealership systems accordingly.
  • Oversee the charge-back program for late inventory charges.
  • Compile monthly floor plan reports for commission calculations.
  • Prepare detailed reports on sales commissions and chargebacks.
  • Manage vehicle floor plan payoffs and liaise with banking representatives.
  • Authorize new charge accounts and supervise the collection of overdue accounts.
  • Gather information and prepare reports as requested by management.
  • Control access to dealership keys and maintain a log of issued keys.
  • Cross-train a qualified backup.
  • Handle onboarding paperwork for new hires and terminations.
  • Maintain an updated repository of dealership job descriptions.
  • Keep confidential employee files secure.
  • Present a professional appearance at all times.
  • Attend management meetings as required.
  • Address inquiries related to:
    • Payroll
    • Commissions
    • Parts invoices
    • Help desk support
    • Netchex
    • Sales taxes
    • Dealer plates
    • Temporary tags for the dealership
    • General automotive business knowledge
    • Clean schedules
    • Other assigned tasks.
