Job Summary

As a key member of the Hinderer Motor Company team, the Office Manager will be responsible for overseeing the financial operations of the dealership. This includes processing and generating financial data for all departments, providing accurate reporting to management, and ensuring compliance with all government regulations.

Key Responsibilities
  • Financial Management
    • Prepare a complete financial statement monthly, adhering to dealership guidelines and manufacturer formats.
    • Control all posted documents, including time records, vehicle deals, commissions, and additions to inventory.
    • Prepare daily bank deposits and cash reports.
    • Manage cash flow and forecast cash needs.
  • Accounting and Auditing
    • Reconcile select accounts monthly.
    • Approve adjustments to inventory and receivable accounts.
    • Ensure accuracy and timeliness of manufacturer accounts, including warranty claims, rebates, interest, protection, and co-op advertising accounts.
  • Payroll and Benefits
    • Prepare payroll on a timely basis, post payroll, and maintain payroll records.
    • Prepare tax reports, tax deposits, and tax returns in a timely and accurate manner.
    • Administer employee health and life benefit payments.
  • Operations and Administration
    • Manage the payoff of vehicle floor plans and work with bank representatives.
    • Approve new charge accounts and oversee collection of past due accounts.
    • Compile information and prepare reports as requested by management and/or dealer principal.
  • General Administration
    • Control keys to buildings and maintain a log of keys issued to employees.
    • Cross-train a qualified substitute.
    • Process paperwork for new employees and terminations.
    • Maintain confidential employment files.
    • Maintain a professional appearance.
Requirements

The ideal candidate will have a strong background in financial operations, excellent analytical and problem-solving skills, and the ability to work effectively in a fast-paced environment. Proficiency in accounting software and systems is a must. The Office Manager will be responsible for ensuring the accuracy and timeliness of financial data, as well as maintaining compliance with all government regulations.
