Gastroenterology Practice Operations Coordinator

At Allied Digestive Health, a leading gastroenterology care network with over 200+ providers and 60+ locations in New Jersey and New York, we're seeking an experienced Office Manager to oversee our office operations in Jersey City.
OverviewWe're a physician-led organization that prioritizes personalized treatment plans for patients, delivering the highest quality of care. Our team of board-certified gastroenterologists serves as chiefs of gastroenterology at nearby hospitals and has received recognition from top publications, including Best Doctors in America, Top Doctors New Jersey, and US News & World Report.
Job SummaryThe Office Manager will work under the direction of the Physician, serving as a liaison between physicians and patients while administering office operations. Key responsibilities include scheduling staff, supervising daily activities, training new receptionists, managing patient check-in and check-out processes, resolving healthcare bill-related phone calls, and maintaining department protocols.
Key Responsibilities:- Schedule staff within departments, supervise daily operations, and train new receptionists
- Manage end-to-end patient check-in and check-out processes
- Resolve patient phone calls regarding healthcare bills
- Complete monthly office schedules for all locations
- Update and maintain department protocols
- Answer and direct telephone calls appropriately, obtain detailed information when making patient office appointments in the EMR system
- Greet patients in a pleasant, polite, and professional manner in person and over the telephone, triage, and act as an information resource for patients, staff, and physicians
- Process tasks and/or messages in Athena
- Search patient information via Athena and verify demographic information for accuracy and HIPAA compliance
- Resolves problems independently or by knowing when to seek another resource
- Clerical responsibilities include obtaining accurate insurance, referrals, and patient ID, mailing paperwork, faxing, scanning, and copying
- Collects co-pays/payments on patient accounts, balances daily batches, and possibly may summarize batches and prepare deposits and postings
- Schedules hospital procedures and obtains pre-authorizations when necessary
- Attends staff meetings
- Participates in training/testing where applicable
- Prepares patient charts for upcoming visits
- Abides by the policies, procedures, guidelines, rules, testing, security administration, and confidentiality of the Patients and Practice under the guidelines of OSHA and HIPAA Laws safeguards
- Performs specialized tasks, projects as requested by Physicians and/or Care Center Management, accurately in a timely fashion
- Works collaboratively with all office employees and physicians to ensure task completion within specified timeframes
- Displays consistent positive and polite approach towards patients, customers, vendors, management, and coworkers
- Works varying or longer schedules if the practice needs require
- Maintains a clean, orderly, and organized workstation
- Reliable and flexible, keeping absences and tardiness to a minimum, acceptable standard
- Works out of other local offices, as directed
To succeed in this role, you must have:
- A high school diploma or GED
- Knowledge of Medical Billing and Insurance is a major enabler of success and is required
- Five plus years job experience
- Strong communications skills and the ability to multi-task are essential components of this role
- Knowledge of Athena (EMR) a plus
- Experience in a Gastroenterology Office a plus
- Must be fluent in Spanish
We offer a competitive base salary of $65,000 - $85,000 per year, depending on experience, plus generous benefits, including medical, dental, vision, life insurance, voluntary, time-off benefits, EAP, 401K, and commuter benefits.
