Overview of the Role

The Reception Specialist plays a crucial role in consistently achieving outcomes that align with the vision and overall success of the establishment by meeting performance goals related to the reception area and providing support to the Operations Supervisor. The Reception Specialist acts as the primary contact for reception technology systems and guest relations during their shift. As the initial point of contact, the Reception Specialist embodies the brand as guests arrive at the venue.

Responsibilities

KEY FUNCTIONS:

•Uphold the promise of exceptional service in all interactions with patrons and clients in accordance with the established service standards.

•Check in guests, distribute room keys, and offer information regarding venue services and room placements. Respond to phone inquiries promptly and courteously.

•Process all monetary and credit transactions accurately following established protocols, including posting charges, completing financial reports, preparing deposits, and securing assigned funds.

•Ensure the security of cash, credit transactions, and guest information is maintained.

•Regularly manage guest bookings for individuals and groups via phone or in-person requests; handle cancellations, modifications, and updates. Promote room upgrades to enhance revenue.

•Adhere to the seasonal reservation strategy as outlined by management concerning room types and pricing for length of stay.

•Foster teamwork and high-quality service through daily communication and collaboration with other shifts and departmental leaders.

•Oversee the shop and bar area by ensuring guests receive the services and products offered. Comply with local regulations regarding beverage sales.

•Ensure that special requests from guests are met and that services are delivered appropriately.

•Manage the issuance, control, and release of guest safety deposit boxes.

•Comply with all applicable laws regarding health, safety, and service regulations.

•Perform additional duties as assigned.

Qualifications and Skills

•High School diploma or equivalent is required.

•A minimum of one year of experience in hospitality or customer service is preferred.

•Experience in the extended stay sector is advantageous.

•Proficiency in speaking, reading, and writing in English; knowledge of additional languages is a plus.

•Strong verbal and written communication skills are essential.

•Basic mathematical skills, including budgeting and profit/loss concepts, are preferred.

•Skills in problem-solving, reasoning, organization, and training are beneficial.

•Familiarity with Microsoft Office and property management systems is preferred.

•Certification in food safety may be required.

•A valid driver's license is necessary.

•Physical requirements include frequent standing, bending, climbing, kneeling, and moving throughout the facility.

•Ability to lift or carry items weighing up to 50 pounds.

•Willingness to work varied shifts, including mornings, evenings, weekends, and holidays.
