Position Summary:

The Healthcare Clinic Administrator plays a crucial role in managing reception and administrative tasks within outpatient healthcare environments. This role necessitates a high level of interaction with patients, medical professionals, and clinic personnel.

Key Responsibilities:

Clinic Administrators are expected to demonstrate exceptional customer service skills and a dedication to precision and quality while thriving in a dynamic, multi-tasking atmosphere.

Educational Background / Experience:

  • An associate degree is preferred, or some college coursework. A High School Diploma or GED is mandatory.
  • 2-3 years of relevant experience in direct public interaction, emphasizing customer service capabilities.
  • Familiarity with Electronic Health Records (EHR) is advantageous.
  • Proficiency in typing at least 35 words per minute and performing standard office tasks such as filing, photocopying, and operating printers.
  • Knowledge of telephone systems, intercoms, and personal computers is essential.
  • Capability to accurately enter and retrieve data.
  • Strong interpersonal abilities; adept at managing diverse public interactions, including resolving conflicts with patients, while maintaining tact, courtesy, and discretion.
  • Understanding of sensitive information handling in compliance with Health Insurance Portability and Accountability Act (HIPAA) regulations.
  • Willingness to participate in mandatory training sessions scheduled after hours or on weekends, with prior notice.

Essential Duties & Responsibilities:

  • Ensure the availability of office supplies and forms necessary for front desk operations.
  • Maintain knowledge of various insurance programs and plans.
  • Assist with Medicaid applications, including Newborn add-ons and other relevant programs.
  • Stay informed about Federally Qualified Health Center program requirements, including the Sliding Fee Scale discount program.
  • Collaborate with all departments to guarantee timely patient registration and effective coordination of care activities.
  • Collect patient balances and copayments at the time of check-in.
  • Reconcile daily financial transactions at the end of each day and submit deposits along with batch reports to the Site Manager.
  • Accurately enter and verify patient demographic and insurance information at every interaction.
  • Schedule patient appointments following established protocols.
  • Confirm patient appointments via telephone 24 hours in advance and document the outcomes.
  • Contact patients who missed appointments within 24 hours to attempt rescheduling.
  • Answer incoming calls in a professional and courteous manner, minimizing wait times.
  • Obtain treatment authorizations from managed care organizations and explain self-pay implications to patients.
  • Perform additional duties as required or assigned.
