Position Summary: The Human Resources Specialist is responsible for executing various professional functions within the HR domain, including talent acquisition, compliance with legal standards, employee benefits administration, and fostering employee relations. Recruitment Responsibilities

Oversee the entire recruitment process, which includes:

  • Partnering with hiring managers to identify necessary skills and qualifications for open positions.
  • Creating job postings for internal and external platforms.
  • Conducting preliminary phone interviews with candidates.
  • Managing applicant communications.
  • Coordinating interview schedules with hiring managers.
  • Performing reference checks.
  • Updating hiring statuses in the HRIS.
  • Sending notifications to candidates who were not selected.
Onboarding and Employee Engagement

Manage all administrative aspects of the onboarding process for new hires, including:

  • Issuing offer letters and ensuring all pre-employment requirements are met.
  • Coordinating background checks, reference checks, and necessary documentation.
  • Meeting with new employees on their first day to complete required paperwork.
  • Preparing and distributing orientation materials for new hires.
  • Entering new employee data into the HRIS and ensuring accuracy.
  • Organizing new hire folders and collaborating with IT and management for a seamless onboarding experience.
Employee Records and HR Database Management

Accountable for maintaining employee records, which includes:

  • Establishing and maintaining personnel files in compliance with state and federal regulations.
  • Ensuring adherence to records retention policies.
  • Updating HRIS with changes in employment status, payroll adjustments, and other relevant information.
  • Monitoring compliance with training requirements.
  • Assisting employees and volunteers with general inquiries related to the department.
  • Participating in meetings, training sessions, and workshops as required.
Compliance Oversight

Support the Chief People Officer in ensuring adherence to state and federal regulations, including:

  • Wage orders, Equal Employment Opportunity (EEO) laws, OSHA regulations, Workers' Compensation, Unemployment, FMLA, and FLSA compliance.
Additional Responsibilities

Supervisory Duties: This position does not include supervisory responsibilities.

Essential Skills and Qualifications:

  1. Outstanding verbal and written communication skills, with the ability to manage confidential information with professionalism.
  2. Detail-oriented and organized, with a proactive approach to problem-solving.
  3. Ability to analyze and interpret policies, laws, and regulations effectively.
  4. Competence in identifying problems, gathering data, and recommending solutions.

  7. Successful completion of a DOJ background check is required post-employment offer.
Education and Experience Requirements:
  • A minimum of 2 years of comprehensive recruiting experience.
  • A Bachelor's degree in business, human resources, communications, or a related field, or an AA/AS degree in a relevant discipline, or a combination of education and experience that meets job qualifications.
  • Preferred certifications include (S)PHR or SHRM – (S) CP.
