As a Floor Services Coordinator, you will maintain a significant presence on the floor, serving as the primary contact for delivering exceptional hospitality and customer service to clients, their guests, and vendors. You will greet customers and visitors with utmost professionalism and courtesy.
Key Responsibilities
CUSTOMER SERVICE
- Ensure complete customer satisfaction by understanding expectations, proactively identifying and resolving issues, and fostering relationships.
- Collaborate with facilities, catering, and other vendors as necessary.
MAIL AND PACKAGE HANDLING
- Receive, sort, and distribute all incoming mail and packages to designated floors within established timelines.
- Log outgoing and incoming items as required, ensuring accuracy and completeness.
SUPPLIES AND ADMINISTRATIVE SUPPORT
- Organize and distribute supplies to client employees as per job requests; verify and log orders upon delivery.
- Monitor inventory levels of supplies, ensuring the floor ambassador offices and copying areas are neat and organized.
- Manage distribution of items for client employees, affiliates, and dealers.
- Estimate runtime for small to medium photocopy jobs; check all copies for quality and accuracy; produce bound copies upon request; deliver and pick up copy jobs.
- Perform minor maintenance on photocopy machines, including resolving paper jams and placing service calls.
- Prepare weekly production and volume reports to measure productivity and assist in billing processes.
- Provide various administrative services, including inserting, copying, and faxing as needed.
- Set up and maintain offices for visiting attorneys.
- Adapt to evolving office automation technologies by learning new features and functionalities of equipment as introduced.
- Train end users on new features and functionalities of office equipment.
RECORDS MANAGEMENT
- Conduct document scanning and maintain organized files.
- Retrieve files from the Records Center as requested; deliver files to clients within established time frames, ensuring proper logging and placement of returned files.
- Prepare files for storage and arrange for retrieval when necessary.
Qualifications
- High school diploma or equivalent.
- Minimum of 1 year of experience in a hospitality or concierge environment, including mailroom and copy experience or a professional office setting.
- Thorough understanding of shipping procedures, including metering and logging.
- Proficient computer skills.
- Ability to operate various equipment and systems effectively.
- Excellent customer service skills with a professional demeanor.
- Strong verbal and written communication skills.
- Proven ability to maintain composure under pressure, demonstrating a strong work ethic and sound judgment.
Physical Demands and Working Conditions
- Regularly required to twist, turn, squat, bend, reach, lift, and spend prolonged periods sitting, standing, or walking.
- May regularly lift and carry up to 20 lbs and move items over 50 lbs.
- Occasional lifting of up to 50 lbs may be required.
- May need to climb stairs occasionally.
- Willingness to work overtime as needed.
