Role Summary:
As a vital member of the VPDoR organization, your position as a Business Analyst for the OPACS system will be crucial in enhancing and optimizing the platform. In this dynamic role, you will undertake a variety of product management and business analysis tasks aimed at improving OPACS capabilities. Your responsibilities will include stakeholder engagement, conducting user interviews, and collaborating with faculty and COI/COC evaluators to identify their needs. Leveraging your expertise, you will spearhead user journey mapping, stakeholder requirements gathering, and the translation of business requirements and user stories into detailed engineering specifications.
Working closely with the engineering team and end-user stakeholders, you will play a key role in refining requirements and overseeing the development process from a product management perspective. Your duties will also encompass managing MVP (Minimum Viable Product) testing and participating in end-user pre-release testing to ensure the system meets high standards of functionality and user satisfaction. The primary objective of your role will be to alleviate the workload on faculty and COI/COC evaluators, enhance the user experience, and implement a strategic roadmap of features aligned with research compliance guidelines. Your contributions will be essential in maintaining the OPACS system as a leading, user-friendly platform that upholds the university's commitment to research integrity and excellence.
Key Responsibilities:
- Convert business processes into system requirements and/or develop system solutions.
- Evaluate new business requirements, assess the feasibility of enhancement requests, and analyze current system functionality and user needs.
- Define functional analysis and design, collaborating with developers and analysts to recommend solutions and resolve system issues.
- Research and assess software to determine its relevance and suitability for existing or proposed business systems; assist in creating preliminary and detailed system design documentation.
- Conduct testing of new systems, upgrades, and patches for existing systems; plan, execute, and document testing results.
- Create instructional materials, training resources, and job aids.
- Assist users in resolving complex problems or issues related to management and business systems.
- Analyze data and provide datasets for user analysis, which may include developing operational and analytical reports for end users.
- Coordinate with external vendors or partners in support of business systems, which may involve system development, implementation, and/or operations.
- Facilitate the implementation of new or modified business systems.
Your Role:
- Collaborate with business stakeholders to comprehend, synthesize, and analyze business challenges and their solutions using various methods (e.g., interviews, document analysis, requirements workshops, surveys, data analysis, etc.).
- Design solutions to tackle complex business challenges while balancing business needs, usability, system consistency, simplicity, and maintainability.
- Facilitate consensus on solution design between business and technical teams.
- Document detailed functional system requirements with supporting artifacts (e.g., mock-ups, prototypes, workflow diagrams, detailed requirements, etc.).
- Represent business partners while working closely with the IT team to clarify business needs and solutions throughout the implementation process.
- Provide demonstrations, facilitate user acceptance testing, and secure business partner approval of newly developed functionalities.
Required Knowledge, Skills, and Abilities:
- Proven experience as a Business or Systems Analyst / Product Manager with a background in complex business applications.
- Strong problem-solving and analytical skills with a logical and systematic approach to challenges.
- Genuine interest in collaborating with end users to understand their needs and enhance their experience.
- Proficient in User Interface design and experienced in crafting effective system solutions.
- Self-driven and proactive in achieving goals beyond the minimum requirements.
- Able to manage multiple initiatives simultaneously and prioritize tasks effectively.
- Detail-oriented with a commitment to accuracy.
- Excellent written and verbal communication, active listening, problem-solving, conflict resolution, and interpersonal skills.
- Collaborative team player with an energetic attitude.
- Experience delivering solutions for faculty and researchers at Stanford University is advantageous.
- Solid understanding of technical problems and solutions, particularly regarding database applications.
- Willingness to learn and grow.
Minimum Qualifications:
Education & Experience:
A Bachelor's degree and three years of relevant experience or a combination of education and relevant experience.
Physical Requirements:
- Constantly perform desk-based computer tasks.
- Occasionally stand/walk, use a telephone.
- Frequently sit, grasp lightly/fine manipulation.
- Rarely write by hand, lift/carry/push/pull objects weighing up to 10 pounds.
