GENERAL OVERVIEW:

The Property Management Coordinator is responsible for overseeing the property management system (PMS) for various operational sectors. This role includes providing daily support to all programs, contracts, and remote offices, while also assisting the Travel and Logistics team as needed. Reports directly to the Logistics Manager.

KEY RESPONSIBILITIES:


• Manages the property system in accordance with federal regulations and associated government property documentation, including tagging, record creation, assignment, location tracking, and inventory management of government-furnished property.


• Oversees the Inventory Management system for domestic locations and maintains an inventory room for available items.


• Facilitates corporate procurement processes for goods and services, including entering purchase requests and preparing expense reports as necessary.


• Coordinates the troubleshooting and repair of office equipment.


• Engages in space planning and manages related floor plans.


• Supports the Travel Department by booking flights, accommodations, and rental vehicles as required, while maintaining the Travel Authorization Number log.


• Manages data within various software systems, including Scope, Concur, and others.


• Maintains and distributes office and kitchen supplies, ensuring adequate stock levels.


• Handles postal and express shipping and receiving tasks as needed.


• Sets up and dismantles employee equipment as required.


• Arranges travel for both domestic and international personnel.


• Coordinates emergency travel arrangements for essential staff and linguists outside of regular hours.


• Assists with monitoring traveler locations and real-time flight statuses, providing alerts as necessary.


• Ensures compliance with travel regulations, particularly the Fly America Act.


• Performs additional duties as assigned.

JOB REQUIREMENTS:


• Responsible for maintaining accurate records within the property management system and ensuring compliance with contractual inventory requirements.


• Committed to delivering exceptional customer service.


• Capable of managing multiple tasks while adhering to established procedures.


• Strong problem-solving skills and attention to detail are essential.


• Excellent verbal and written communication skills are necessary.


• This position allows for hybrid work, with the possibility of remote work up to two days a week, though onsite presence may be required as needed.

EDUCATION AND EXPERIENCE:


• Bachelor’s degree or equivalent experience in logistics is preferred (military logistics experience is advantageous).


• Familiarity with travel industry practices and booking systems is beneficial.


• Knowledge of the airline, rental car, and hotel industries is a plus.


• Proficiency in MS Office, particularly Excel, is required.


• Understanding of military terminology and FAR requirements related to government property is advantageous.


• Must possess strong customer service skills and the ability to obtain security clearance up to Top Secret.

ADDITIONAL QUALIFICATIONS:


• Valid driver’s license and ability to operate a vehicle are required.


• Must be able to lift up to 35 pounds without assistance.

PREFERRED EXPERIENCE:


• Completion of relevant college coursework or equivalent experience is desired.


• Training or certification in property management or related fields is a plus.


• Strong background in logistical support within military or government contracting environments is preferred.


• Ability to learn and utilize company-specific systems such as i-Support, Costpoint, Concur, and Scope is essential.
