Position Overview
The Guest Services Representative plays a crucial role in managing the front office operations and enhancing guest experiences, ensuring complete satisfaction from check-in to check-out.

Qualifications
  • High school diploma or equivalent is mandatory; a college degree is preferred.
  • Prior experience in hotel front desk operations is advantageous.
  • Familiarity with Hilton OnQ system is a plus.
  • Background in accounting is beneficial but not essential.
Key Responsibilities
  • Welcome guests upon arrival and assist with their departure, providing a positive experience throughout their stay.
  • Facilitate the registration process by accurately entering and retrieving guest information from the computer system, ensuring all details are confirmed.
  • Work collaboratively with various hotel departments to deliver an exceptional guest experience.
  • Communicate essential guest information to relevant departments, including special requests and amenity deliveries.
  • Provide guests with information about hotel services and local attractions, showcasing the full range of amenities available.
  • Maintain confidentiality regarding all guest and hotel information.
  • Pay close attention to detail to ensure the security of guest room access.
  • Document all guest requests, complaints, or issues promptly and notify the appropriate personnel for resolution.
  • Process cash and credit card transactions efficiently, managing guest accounts during check-out.
  • Address guest inquiries and complaints swiftly, ensuring timely follow-up to uphold high standards of satisfaction.
  • Generate and distribute daily and weekly reports as required.
  • Resolve any discrepancies in room status reports with the housekeeping team.
  • Maintain comprehensive knowledge of hotel features, services, room types, rates, and promotions.
  • Answer phone calls promptly, ensuring clear communication and accurate message relay.
  • Adhere to hotel safety policies and procedures, reporting any accidents or injuries immediately.
  • Keep the work area clean and organized to facilitate efficient operations.
  • Perform additional job-related duties as assigned.
  • Balance and audit room revenue, cashier reports, and guest accounts to ensure accuracy.
  • Assist in preparing management and accounting reports necessary for tracking hotel revenues and expenses.
Additional Skills
  • Proficient in using a moderately complex computer system for data entry and retrieval.
  • Ability to handle cash and credit transactions accurately.
  • General knowledge of local attractions and transportation options.
  • Ensure efficient guest registration and service while adhering to brand standards.
  • Possess strong interpersonal skills to effectively manage customer interactions and resolve conflicts.
  • Ability to recognize and respond to emergency situations.
  • Establish and maintain effective working relationships with guests and colleagues.
  • Strong command of the English language, both written and verbal.
  • Ability to prioritize tasks and manage multiple responsibilities while providing excellent customer service.
  • Regular attendance and availability to work flexible schedules, including weekends and holidays, are essential.
  • Maintain a professional appearance and adhere to grooming standards.
Physical Requirements
Some lifting may be necessary, and this position typically requires being on one's feet for a significant portion of the time.
