Rehmann is looking for a Corporate Events Coordinator to strategize, organize, and execute a variety of internal and external business functions. Your innovative thinking and organizational expertise will be essential in managing our participation in major industry trade shows, as well as orchestrating large internal meetings, which includes sourcing venues, managing vendors, and coordinating extensive travel arrangements and social activities.

Key Responsibilities:
  • Work collaboratively with various departments to ensure the successful execution of corporate internal events, including executive retreats and leadership meetings. Assist the HR training team in sourcing venues and providing additional support.
  • Partner with the sales and marketing teams to plan and execute participation in industry trade shows and regional client-focused corporate events.
  • Oversee logistics such as venue selection, catering, audiovisual setup, and more.
  • Manage event budgets and monitor expenses closely.
  • Collaborate with the marketing team and local marketing representatives to brainstorm themes, create invitations, promotional materials, and develop registration pages.
  • Act as a liaison between vendors, caterers, and staff before and during events.
  • Coordinate group travel arrangements for conferences, meetings, and corporate events, including flights, accommodations, ground transportation, and itineraries.
  • Negotiate contracts with travel service providers to secure optimal rates and amenities.
  • Address travel-related emergencies or changes to minimize disruptions during corporate events.
  • Ensure adherence to company travel policies.
  • Monitor and analyze travel trends and costs.
  • Advise travelers and assist with specialized travel documents, such as visas or passports.
  • Collaborate with HR to review and update travel policies.
Desired Skills and Qualifications:
  • 3 - 7 years of experience in corporate travel, event coordination, project management, or a related field.
  • Familiarity with Hubspot, Salesforce, travel platforms, and other relevant systems is preferred.
  • A high school diploma is required; higher education is preferred.
  • Proven ability to negotiate prices and contracts, as well as assess and manage supplier performance.
  • Ability to leverage technology effectively to support event strategies and travel arrangements.
  • Demonstrated critical thinking and sound judgment in decision-making, with the ability to analyze situations and adapt to changing circumstances.
  • Strong organizational skills, capable of prioritizing tasks and managing multiple projects efficiently.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office, particularly PowerPoint and Excel.
  • Ability to work independently and collaboratively with a diverse group of professionals with minimal supervision.
  • Exhibit a professional demeanor, maturity, self-confidence, and a positive attitude.
