Administrative Support Specialist

Job Summary: We are seeking a highly skilled Administrative Support Specialist to join our team at Pyramid Consulting, Inc. as a contract position. The ideal candidate will have a minimum of 6-10 years of experience in an administrative capacity supporting senior management.
Key Responsibilities:
- Provide proactive calendar coordination, including scheduling and arranging meetings with internal and external partners to ensure leaders' time is accurately prioritized.
- Support group meetings, including logistical support, and coordinate large group, cross-functional launch meetings.
- Manage complex calendars and international travel arrangements for senior leaders.
- Prepare confidential documents, such as presentations, memos, and correspondence, and expense reports.
- Utilize and innovate on current technology platforms, including Excel, Outlook, PowerPoint, Word, Concur, SharePoint, WebEx, Zoom, Teams, Global Connect, Workday, and Our Source.
- Coordinate and administer Global Services Service Excellence and Experience engagements by managing statements of work and purchase orders, tracking expenditures, and processing invoices.
- Achieve results in the absence of day-to-day mentorship and maintain strict confidentiality.
Requirements and Qualifications:
- A minimum of a high school diploma is required, preferably a Bachelor's degree.
- A minimum of 6-10 years of experience in an administrative capacity supporting senior management is required.
- Excellent communication skills are required.
- Strong leadership, interpersonal, teamwork, analytical, and problem-solving skills are required.
- Demonstrated project management experience and large event planning experience are required.
- Strong organizational skills and attention to detail are required.
- Demonstrated proficiency in Microsoft Office programs, including Word, Excel, PowerPoint, and Outlook, is required.
- Experience with productivity tools and portal technologies, including Zoom, Microsoft Teams, Global Connect, and SharePoint sites, is required.
- Experience with expense reporting systems, such as Concur, is required.
