NFI Industries is a dynamic and growing organization seeking an experienced Office Support Specialist to join our team. This role plays a critical part in ensuring the smooth operation of our front office administrative tasks.

About the Role

We are looking for a highly organized and detail-oriented individual with excellent communication skills to provide support to local management. The successful candidate will be responsible for ensuring that front office security processes are followed, answering and routing telephone calls, providing scheduling support, and coordinating receiving and shipping documents.

Responsibilities

  • Security Processes: Ensures security protocols are followed at the front desk, including driver and visitor sign-in.
  • Telephone Support: Answers and routes all telephone calls in a polite manner, taking messages and routing to proper individuals in a timely fashion.
  • Scheduling Support: Provides scheduling assistance for inbound and outbound freight in compliance with customer and operational department requirements.
  • Document Coordination: Coordinates receiving and shipping documents, verifying accuracy and ensuring they are properly routed.
  • Data Maintenance: Gathers and maintains data and records related to shipping and receiving activities.
  • Shipping Verification: Verifies the accuracy of shipping orders and quantities against picking documents.
  • Customer Discrepancies: Assists in resolving customer discrepancies and ensures prompt resolution.
  • Pallet Control: Directs and oversees the pallet control and exchange program.
  • Facility AR/AP: Responsible for facility AR/AP and vendor invoice responsibilities.
  • Reporting: Runs specific customer reports and scans invoices as required.
  • Special Projects: Provides support on special projects as directed by the Lead Customer Service Representative (CSR), CSR Supervisor, or Office Manager.
  • Administrative Tasks: Files appropriate paperwork for the facility as required and performs other administrative tasks as directed by local management.

Estimated Salary Range:$40,000-$60,000 per annum, based on location and experience.

Required Skills and Qualifications:

  • Education: High School Diploma or equivalent required.
  • Computer Knowledge: Strong computer skills, including MS Office applications, specifically Excel.
  • Typing Skills: Basic typing skills and familiarity with 10-key typing.
  • Shipping Software: Knowledge of shipping software systems, including UPS and Federal Express.
  • Communication Skills: Excellent oral and written communication skills.
  • Physical Demands: Ability to work in varying facility conditions, including poor lighting and ventilation, exposure to noise, dust, LPG fumes, product orders, heat during summer, and cold during winter.
  • Availability: Availability to work irregular or extended hours, including nights, weekends, and holidays as needed by the customer.
