Job Summary

We are seeking a highly organized and detail-oriented Document Processing Clerk to join our team at Doma Technologies LLC. As a key member of our document management team, you will play a critical role in ensuring the secure storage and retrieval of documents.

Key Responsibilities
  • Examine and provide quality control of imaged documents received and screen images using review criteria.
  • Perform quality control functions on imaged documents.
  • Assure that documents entered and uploaded into the imaging system contain the proper patient-identifying bar-coded cover sheet or that the case number is entered to distinguish individual patient records.
  • Assist with opening and sorting incoming mail for distribution and dispatching outgoing mail.
  • Log receipt of all mail in tracking systems.
  • Sort mail according to destination and type, such as medical records and mail for administrative staff.
  • Call providers to obtain missing passwords for compact discs (CDs).
  • Assist with scanning and disposition of all documents received on paper, CD, fax, or by electronic means.
  • Assist with logging postage amount from providers' envelopes for provider reimbursement.
  • Work in the government system to attach documents to cases and notify appropriate parties.
  • Examine outgoing mail and seal envelopes by hand or machine.
  • Stamp outgoing mail by postage machine or by hand and monitor postage usage.
  • Assist with the documentation, storage, retention, and destruction of paper documents received from providers.
  • Participate in the continuous improvement process to identify quality issues and recommend solutions.
  • Protect the confidentiality of patient information through compliance with the Health Insurance Portability and Accountability Act (HIPAA) and the Health Information Technology for Economic and Clinical Health Act (HITECH).
  • Attend annual security awareness, rules of conduct, and conflict of interest training.
Requirements
  • High school diploma or GED is required.
  • Must be able to read English, communicate, and speak clearly and courteously.
  • Must be able to lift thirty pounds.
  • Must have excellent computer usage skills, using both a keyboard and mouse.
  • Must be attentive to detail and scrutinize documents for accuracy and legibility.
  • Must be able to learn on the job and to follow directions.
  • Must work independently.
  • Must be flexible and willing to work closely with all types of individuals.
  • Must be willing to grow professionally.
