About the Role

We are seeking a highly skilled and organized Office Manager to provide administrative support to our VP of R&D at our Wayland, MA location. As a key member of our team, you will be responsible for managing schedules, completing follow-up tasks, and preparing documents and reports as needed.

Key Responsibilities
  • Provide high-level administrative and technical support to the VP of R&D and other team members
  • Develop and manage administrative systems and processes to support the R&D function
  • Perform clerical and administrative tasks, including drafting letters and documents, developing reports, and supporting inventory management
  • Communicate with teams and assist with project management
  • Support audit tasks, maintain expense recording processes, and manage material purchasing/management
  • Manage calendars and office schedules as needed
  • Receive and review incoming communication, memos, and deliveries on behalf of the office
  • Provide technical support to the VP of R&D and other team members as needed
Requirements
  • 3+ years of experience as an executive or personal assistant
  • Proven experience developing and managing administrative systems and processes
  • Excellent written and verbal communication skills
  • Ability to work independently and multi-task in a fast-paced environment
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
  • Excellent time management skills with a proven ability to meet deadlines
Preferred Qualifications
  • Demonstrated experience utilizing and troubleshooting issues with Microsoft Office 365, PC hardware, Apple hardware, and video conferencing platforms
  • Strong customer service and interpersonal skills
  • Ability to assess and solve complex problems with many variables
