Admissions Manager
This role operates under the guidance of the Director of Business Development for Long-Term Acute Care Hospitals (LTACH) and the Corporate Director of Admissions for rehabilitation facilities. The primary focus is to manage hospital activities related to patient admissions and registration. This position includes oversight of Intake Specialists, both inpatient and outpatient, as well as the Admissions Office Coordinator and Business Office Specialist when assigned. Collaboration with Clinical and Physician Liaisons is essential to facilitate physician referrals and conversions while addressing customer service issues. Additional responsibilities may be assigned as needed. This is an exempt role.
Key Responsibilities
Referral Management
- Oversee admission processes to meet targeted patient census goals.
- Assist in prioritizing pre-admission assessments.
- Identify strategies for referral acquisition, including re-evaluations on medical denials.
- Inform referral sources about bed availability.
- Build and maintain relationships with referral sources.
- Streamline the referral process.
- Initiate pre-admission assessments.
- Determine timelines for referral source admissions.
- Communicate these timelines to the Clinical Liaison.
- Continuously evaluate and suggest improvements for the admissions process.
- Assess pre-admission insurance coverage and act as a liaison between patients and insurance providers to clarify coverage and admission policies.
- Pre-certify and/or authorize patient admissions.
- Coordinate with case management to develop care plans and provide necessary information for admission approval.
- Facilitate referral conversions by promoting expedited assessments and onsite patient acceptance. Ensure financial clearance for fast-track admissions and follow up with referral sources regarding medical approvals or denials promptly.
- Document all communications regarding admissions in a log.
- Manage the referral process throughout the admission journey, keeping referral sources informed about patient acceptance and discharge status.
- Assign patient rooms and admitting physicians, notifying all relevant parties of scheduled admissions.
Referral Database Management
- Administer the admissions database, ensuring all referral information is accurately recorded.
- Maintain a master patient intake log that includes referral details, admission dates, and reasons for any admission denials.
- Generate various reports from the master log, including daily census reports and physician referral statistics.
- Keep records for other referral sources in case of denials and document alternative options.
- Meet or exceed referral conversion timelines.
- Maintain the bed board, pending list, denial log, and medical transfer records.
Department Management
- Lead census team meetings to discuss performance and strategies.
- Supervise business office staff to ensure smooth operations.
- Provide support for the Intake Specialist during peak workloads or absences.
- Engage in educational initiatives and mentor admissions department staff to uphold high standards of customer service and proficiency.
- Conduct monthly departmental meetings to keep staff informed about updates and changes.
Leadership

Qualifications
Education and Training: High school diploma with three years of relevant experience.
Experience: At least three years in a healthcare admissions or registration setting, with supervisory experience preferred.
Knowledge, Skills, and Abilities:
- Ability to lead and motivate teams in admissions efforts.
- Familiarity with cost analysis techniques.
- Skills in supervising and training staff, including work organization and prioritization.
- Understanding of budget preparation and fiscal management.
- Ability to foster a collaborative work environment.

- Strong interpersonal skills to engage with diverse audiences.
- Knowledge of inpatient admission criteria and managed care reimbursement standards.
- Mathematical skills for analyzing financial and admission data.
