Project Management Specialist

We are seeking a highly skilled Project Management Specialist to join our team at Tarkett.
About the RoleThe primary purpose of this position is to provide administrative support to our Regional Vice President of Design and Construction and Regional Management Team in all administration functions and processes within a designated regional territory, from bid to closeout. This role requires a detail-oriented individual who can work independently, manage multiple tasks efficiently, and meet deadlines in a fast-paced environment.
Key Responsibilities:- Pre-bid Activities: Procure necessary plans and specifications, review scope, request quotes from subcontractors and suppliers, and review their quotes.
- Regularly update project management software.
- Assist in ensuring that all subcontractors and suppliers have the necessary contractual documents.
- Draft, review, and publish change management for subcontractors and prime contracts.
- Verify timely delivery of materials and equipment for projects.
- Review subcontractor and supplier invoices and align them with purchase orders.
- Assist in billing subcontractor invoices, prime contract invoices, and change orders.
- Ensure proper project closeout, including certificate of completion/substantial completion, maintenance hand-off, and checklist completion.
- Confirm sub-trade pricing.
- Review general and supplemental conditions.
- Submit requests for information to owners and architects/engineers for bids.
- Verify completeness and delivery of critical documents, local rules, and permits.
- Monitor and communicate changes in project scope and opportunities for additional revenue or cost savings.
- Coordinate with local construction managers to assemble required submittals and shop drawings for associated trades.
- Comply with safety policies, practices, and procedures; report unsafe activities to supervisors and HR.
